TEAM LEAD, ENROLMENT

ENROLMENT & COMMUNICATIONS


NorQuesters are difference makers and we're searching for someone who can lead from where they are as the Team Lead for our Enrolment team to plan for, organize, and direct the team in all work that occurs during and immediately after the registered student lifecycle including new registration activities for diverse programs at the college, changes to registration, fee assessment and collection, and student records management.


Reporting to the Associate Registrar, Enrolment, the Team Lead Enrolment monitors and evaluates unit activities and enrolment reports to identify trends and rectify areas of concern.

The Team Lead works regularly with leadership to resolve issues, implement process improvements, and relay information to other areas in the college, anticipating how changes in the college may impact the enrolment student financial activities and collaborating across the College for change management and responses that are integrated across work areas.


HOW YOU'LL MAKE A DIFFERENCE

  • Lead registration intake activities each term.
  • Ensure unit's communications are clearly written and accurate.
  • Responsible for the administration of enrolment operational policies by interpreting directives, policies, and guidelines for the unit.
  • Identify and resolve escalated student issues as they relate to enrolment activities, responding to informal appeals.
  • Identify, document, and communicate recurring enrolment and student records patterns and issues.
  • Consult with other areas of the college on student related issues (e.g. changes to course registration, financial aid status, fulltime status of student).
  • Advise staff and students on enrolment requirements and processes.
  • Prepare reports, summaries, or other documents, reviewing and interpreting enrolment reports.
  • Demonstrate an understanding of the impact of data on college and program planning, being aware of, and deliver to, reporting timelines.
  • Oversee ongoing updating of training materials, desk manuals, and other reference sources for enrolment.
  • Coordinate testing of new initiatives and systems solutions for team.
  • Manage processes related to student account accuracy.
  • Work with Accounts Receivable to trouble shoot issues with payment processes.
  • Manage processes related to outstanding student accounts.
  • Work with the Student Financial Administrators on process improvements to the manual work that is done, looking for efficiencies and opportunities to automate.
  • Identify and resolve escalated student issues, respond to informal appeals, and oversee preparation of formal financial appeals.
  • Supervise, regularly evaluate, document, and recommend development opportunities for enrolment staff. Responsible for team cohesiveness and resolution of human resources issues.
  • Implement goals, expectations and standards set by leadership.
  • Implement service standards and work schedules for enrolment activities.
  • Ensure enrolment is using PeopleSoft appropriately, that data entry is timely and correct, and student records are maintained according to policy.
  • Oversee training of staff including developing training plans, communication, and onboarding.
  • Provide advice and recommendations on enrolment trends and the impact of changing enrolment and student records requirements.
  • Identify, investigate, and escalate current or future enrolment issues, providing recommendations for solutions to the Associate Registrar.

WHAT YOU BRING

  • Post-Secondary Diploma in a related field.
  • 3+ years' experience in student records or enrolment in a postsecondary environment.
  • We'll consider combinations of education and related experience.

  • Knowledge of FOIP.
  • Experience with information systems development and technology, business practices, electronic document management systems design, and project management relating to records management and archives.

SALARY:$60,724 - $78,850 reflective upon what you bring AKA your education and experience. This is a full-time permanent position with the Alberta Union of Provincial Employees (AUPE) and includes immediate access to our great pension and benefit programs.
