Position Summary

Major Job Responsibilities

Key Responsibilities

Under the guidance of the Coordinator, Facility Rental Administration, provide support with the oversight and administration of community events in Milton including:
  • Create and maintain client files, ensuring up to date documentation
  • Respond to inquiries, and provide front
  • line customer service to community event organizers
  • Maintain a safe and welcoming environment for all customers and provide excellent customer service
  • Check in with event organizers during site set
  • up to ensure that vendor arrival is safe, efficient, and according to plan
  • Provide ongoing customer service to event organizer, which includes problem
  • solving, and acting as a liaison between event organizer and other Town staff/departments
  • Observe site take
  • down to ensure that vendor load
  • out is safe, efficient and according to plan and that the event space is returned to acceptable standards
  • Provide general event supervision, including conducting site/event evaluations (e.g. noise levels, vendor counts, etc.), which will inform post
  • event reports
  • Coordinate post
  • event evaluation of events including debrief meetings and the development of post

  • Adhere to all Town policies and procedures
  • Comply with all health and safety practices as it relates to the work, standard operating guidelines, and the Occupational Health and Safety Act (OHSA)
  • Perform other duties as assigned in accordance with department objectives
Education & Experience

Education and Experience- Enrolment in, or completion of, a post-secondary degree/diploma in Event Management/Coordination, Project Management, Public Relations, or related field of study- Demonstrated experience as an Event Coordinator in event logistics, sponsorship development, marketing, volunteer coordination, and related best practices is required- One (1) year of related experience is preferred- Fluent with Microsoft Office Suite (Word, Excel, Power Point, Outlook)- Ability to work with mínimal supervision, in a leadership role, make informed decisions and balance multiple priorities while acting as a key point person in a busy event environment Efficient and clear communication, interpersonal, and conflict-resolution skills is required- Industry certifications in event management (CSEP, CMP) is preferred- Working knowledge of Xplor Recreation management software is preferred
