The Role
As the Receptionist, you will be the first impression of The Foray Group.

The Receptionist is an integral part of the office administration and a key support to the Executive Assistant and must be an ambassador of our brand and organizational culture - this person must radiate friendliness, positivity, and the heart & warmth that our organization thrives on.

This position will function as a liaison between the company and external contacts as well as all six of its internal divisions, which will require strong communication skills.

The position includes a wide variety of responsibilities and is inclusive of both confidential administrative and secretarial duties.


Success

Duties and Responsibilities
Administration

  • Provide general administrative and clerical support as needed
  • Review office related invoices and reconcile to ensure accuracy
  • Complete Visa Reconciliation for the CEO, and compile Visa Reconciliations from Business Heads
  • Complete Expense Report for the CEO, and reconcile Expense Reports from Business Heads for submission to the CEO
  • Receive/sort/date/distribute incoming mail, faxes and deliveries
  • Prepare outgoing mail
  • Prepare outgoing and receive incoming courier packages
  • Organize shipping and receiving for large mailings
  • Direct external correspondence and inquiries to the appropriate staff
  • Answering telephone calls, and directing calls to appropriate parties
Relationship Management (Internal and External)

  • Organize internal meeting room bookings
  • Greet guests entering and visiting the organization and ensure they are signed in/out
  • Monitor visitor access and maintain security awareness
  • A Culture Champion who will support, assist, and participate in culture initiatives
Office Maintenance

  • Maintain the reception area and all meeting rooms to ensure a professional appearance
  • Maintain and order office supplies as needed
  • Maintain office supply inventory list
  • Ensure mailroom is organized
  • Monitor and maintain office equipment and arrange for service as required
  • Manage the tracking and follow up of any required office repairs and maintenance
  • Programming and disabling of building entry devices
  • Maintain and order café supplies as needed
  • Update and manage the suppliers and vendors list as needed Arrange for catering as needed

Qualifications and Experience

  • Secondary School Diploma or Equivalent
  • 2 years' experience in an administrative or receptionist role
  • Postsecondary Diploma or Degree in a business related field is considered an asset

Knowledge, Skills and Abilities

  • Excellent written and verbal communication
  • Organized, detailoriented, conscientious, and ability to work independently
  • Effective time management, punctual and reliable
  • Resultsdriven orientation, highly motivated with a high level of energy/high sense of urgency
  • Ability to work effectively in a fastpaced working environment
  • Outgoing and positive personality
  • Friendly, with the ability to work in a professional manner and in a professional environment
  • Advanced level skills in Microsoft Word, Excel, PowerPoint and Outlook
  • Receptive to learning other software programs such as Metronome, Beautiful, Adobe, Canva
  • Demonstrates initiative, effective judgment and decisionmaking skills
