Job Summary

This position is the first contact for in-person or virtual visitors to the Advising and Involvement Centre (AIC).

The AIC includes members of the Academic and Career Development team, advisors from the Faculty of Applied Science, co-op students working on a variety of projects, and career peer mentors that provide peer to peer support.

This position is an integral part of the AIC team and participates as a member of the AIC team from initial interactions with students at the front desk to supporting students and the campus community as a whole.

As such, this position will assist visitors with a variety of diverse questions and needs.

Ongoing communication with the staff in the AIC, will be a requirement in order to learn, clarify, and keep up with changes in information, procedures, processes and resources.

This position will provide general information in areas such as:
Letters of Permission, completing forms, troubleshooting registration issues, office maintenance and booking appointments.

Organizational Status

The position reports to the Director, Academic & Career Development. The position interacts with and takes some direction from staff in Academic & Career Development.

This position must work cooperatively with other staff, students, and faculty members to ensure that common goals are established and achieved.

Work Performed

  • Provides excellent customer service inperson and virtually to students, staff and visitors in the Advising and Involvement Center. Triages requests and makes appropriate referrals to available resources and advising staff. Responds to basic questions pertaining to the Academic Calendar and other student information and/or policies.
  • Supports and provides general student information in relevant areas including requests for Letters of Permission, referrals to Program Advisors, advising on departmental forms, Vancouver advising referrals, as well as general information regarding services on campus and in the broader community.
  • Assists with booking student advisory appointments while utilizing multiple technology platforms. Maintains schedules and updates due to a drop in que or review of job board.
  • Delivers prepared workshops to students on a variety of topics such as how to build a resume, job search strategies, how to use degree navigator.
  • Performs data entry including, tracking and collating data from multiple platforms to generate statistical reports.
  • Maintains current understanding of student services and programs offered on campus in order to provide accurate resource information and refer appropriately. Shares updated information with team members as needed.
  • Hosts monthly team meetings, sets agendas, takes notes, and provides follow up to team members on decisions and action items.
  • Participates in additional projects in the department and within the Student Development Portfolio as identified by the supervisor.
  • Supports and provides the delivery of general student information in relevant areas including requests for Letters of Permission, referrals to Program Advisors, advising on departmental forms, Vancouver advising referrals, as well as general information regarding services on campus and in the broader community
  • Identifies students that may be at risk and provide general support, referring unique and involved cases as appropriate.
  • Develops and maintains communications and promotions such as flyers for events and maintenance of web pages and other webbased media.
  • Performs other duties as required to support members of the AIC.
Consequence of Error/Judgement


The position requires exercising judgment in terms of the level of information our visitors require before referrals or appointments are created.

New or unusual questions should be referred to a supervisor or the relevant advising staff.

Consequences of inappropriate judgment or errors may cause hardship for students and could reflect negatively on staff in all related departments.
