About Us:


KidSafe is a non-profit British Columbia society that has been nurturing Vancouver's most resilient elementary school children since 1993, in partnership with the Vancouver School District.

We provide a safe space when school is not in session, where KidSafe children can come to learn, play, eat nutritiously, and just be kids.

We currently serve approximately 800 children annually who have been identified to us by professional, third-party referrers.

Position Overview:


Reporting to the Director of Programs, while working closely with every team member, you'll be the heart of our organization, ensuring smooth operations, logistics and fostering creativity, and making a lasting impact.

This is a hybrid position, which requires you to work from the office for at least 3-days a week on a regular schedule, and as/when needed.


Key Responsibilities:


Office Administration & Day-to-Day Operations:

  • Procure office supplies, manage inventory, and staff assets such as tshirts, office keys, and laptops.
  • Supervise offsite storage facilities, ensuring accessibility and proper management of stored items

Communication and Coordination:

  • Coordinate and organize team meetings, board meetings, including creating agendas, circulating minutes, and planning teambuilding activities and retreats.
  • Liaising with the landlord, vendors, suppliers, IT Services and telecommunication providers, etc.
  • Act as a point of contact for organization's day to day activities including security, parking, and promptly responding to any inquiries.

HR Support:

  • Assist in the HR functions such as recruitment, onboarding, administering benefits, and stewardship of volunteers for organizational activities and events.
  • Maintaining and updating employee records on HR Software such as Bamboo HR.

Other tasks:

  • Support with fundraising activities and programs as needed.
  • Manage and fulfill Board & Society membership duties, including but not limited to compiling reports, taking minutes, conducting criminal record checks, obtaining business licenses, and managing memberships.

Qualifications and skills:


  • Related postsecondary education or equivalent experience.
  • 1+ years' experience providing administrative support to multiple teams or professionals, preferably in a nonprofit organization.
  • Strong organizational and problem solving skills, including the ability to work in a fast paced, and evolving environment.
  • Proactive approach, strong work ethic, ability to execute tasks efficiently, and a commitment to getting things done.
  • Experience with Microsoft Office Suite, Google Office, internet research and web publishing skills.
  • Experience with Bamboo HR, Asana, Campbrain, eTapestry would be an asset.
