Overview


Reporting to the
Registrar, the
Admissions/Enrollment Assistant will assist with carrying out responsibilities related to the delivery of quality enrollment and admissions services.

The incumbent is responsible for assisting in the day-to-day relationship management with Learning Flow (our admissions services partner), and operations of all enrollment and student records functions.


The position is required to maintain a high level of knowledge of current educational trends and practices in Canada and around the world.


Key Responsibilities
In addition to those duties and responsibilities that the Registrar may assign from time to time, the duties and responsibilities of the Enrollment Assistant include, but are not limited to the following:

  • Prepares and assists the enrollment process by gathering original information required for admission
  • Assesses the admission/enrollment requirements for student enrolment in accordance with the partner institution's admissions requirements
  • Inputting and managing data within our system (Salesforce) and updates and track files for their completeness as documents are collected
  • Responding to the inquiries about document/enrolment status
  • Maintaining and ensuring the students' records are accurate and updated
  • Assisting with admissions and enrollment materials and official documents, including Confirmation of Enrollment Letters, Program Completion Letters, Diplomas, Transcripts, Certificates, contracts, and other notification letters
  • Assists the Registrar's team with student admissions and enrolment policy adherence
  • Regularly screens, assesses, determines, updates, and ensures that foreign
- academic credentials meet program admission requirements

  • Coordinates daily correspondence and document management in the assigned portfolio
  • Ensures the high quality of all scanned images submitted meat production and quality standards
  • Work in collaboration with Operations, New Students team, and Student Experience team to gather, review, distribute, and manage official documents and students' records
  • Spot audits on submitted study permits and their conditions, transcripts, credentials, and other documents to ensure all the documents are valid, original, authentic, and accurate prior to the program start date
  • Tracks and analyzes enrollment and class data to identify trends, foster improvements in decisionmaking and troubleshoot enrollment issues.
  • Maintains a thorough knowledge of the College's vision and purpose, admission requirements, and program offerings, services, and facilities
  • Reviews business practices to ensure the integrity of Robertson Global's student information system is maintained and implements changes as required
  • In consultation with the Registrar, develop an Enrollment and Student Records Guidebook that can be used amongst the enrolment staff members
  • Assumes additional responsibilities and duties as assigned

Qualifications

  • A 2 year Diploma and a minimum 34 years experience in a fastpaced customer service environment (preferably in a postsecondary admissions setting) with increasing levels of responsibility
  • Outstanding written and verbal communication skills
  • Demonstrated commitment to providing outstanding customer service.
In-depth knowledge of international post-secondary education systems

  • Experience with domestic and international credential evaluation and articulation agreements
  • Experience with credential assessment methodology and education systems from Canada and internationally
  • Proven track record of effective team management and implementing change resulting in improvements to service quality, staff productivity and systems efficiency
  • Sound understanding of strategic enrolment management concepts and academic policies and processes that contribute to a quality experience
