PROFILE


We are currently seeking an experienced Office Services & Facilities Clerk to join our Office Services team of our Hamilton office on a 6 month contract with potential to extend.

Working in a team environment, the incumbent will be responsible for purchasing, budgeting, shipping, receiving, storage, receptions, office communication (mail, courier, etc.), space utilization, print services, facilities equipment maintenance services and food services.

This position receives some direction or guidance; most tasks and objectives are accomplished independently.


RESPONSIBILITIES

  • Coordinate Video Conferencing/Boardroom operations (boardroom set ups, bookings, testing and recording/processing videos and routine maintenance of all audio visual and conference equipment).
  • Interact on a national level with IT/Reception in other offices to coordinate boardroom space/info for Video Conferencing meetings.
  • Provide support to all areas within office services and facilities, which would include completing photocopy and document assembly requests; receiving and sending fax transmissions; receiving and/or collecting incoming and outgoing mail and deliveries and ensuring ongoing dispatch and delivery.
  • Assist in monitoring and responding to issues that relate to office services or premises, including lighting; air flow; furniture; equipment; and coordinates the purchase of office supplies, furnishings etc.
  • Assist with office moves and provides general maintenance duties as required.
  • May be required to assist in accounting duties such as depositing monies at bank; coordinate file closures, retention, retrieval and recording of all closed files at offsite storage facilities.
  • Maintain inventory of firm supplies and equipment.
  • Respond to requests for assistance from reception and any other area within Office Services and/or Facilities.
  • May be required to coordinate and facilitate the logistics of various office specific events.
  • Organize and maintain common areas including cafes and kitchens.
  • All other duties as required.

QUALIFICATIONS

  • Ability to use Video Conference specific software and VC firmware to record/process video recordings.
  • Ability to communicate effectively with other Firm members, with the aptitude to take care of clients' needs in a professional and courteous manner.
  • Capable of producing a high quality and quantity of work product, occasionally under tight timelines.
  • Ability to prioritize and redefine priorities when necessary.
  • Capacity to work independently, as well as in a team environment.
  • Ability to lift heavy objects.
  • Ability to handle stress in a businesslike manner.
  • Knowledge of Microsoft Office Suite.
