Position Summary:


Responsible for the day-to-day administration and supervision of casual staff for the Exam Centre of the Students Accessibility & Achievement Office.

Responsible for on-boarding, training and supervision of the casual staff.

Ensures that existing administrative and technical procedures and policies are followed, maintaining compliance with financial, IT, HR and privacy related requirements.

In conjunction with the Exam Centre Manager and/or Associate Director, Operations & Exams, develops and implements administrative procedures and processes to enhance the efficiency of the Service.


Primary Responsibilities:

  • Responsible for recruitment, onboarding and training of casual support staff.
  • Supervises a team of AMUSE, AGSEM (Invigilator) and nonunionized (Scribes, Readers, etc.) casual support staff who provide services to the Exam Centre.
  • Develops tools and materials to support Exam Centre casual employees.
  • Works closely with the Exam Centre Manager to ensure they have the appropriate staffing supports related to casual student staff.
  • Manages pick up, confidential, safe storage and delivery of exams.
  • Assists with HR processes related to casual support workers including shift assignment, payroll and contract monitoring. Responsible for reviewing and verifying all hour submissions for casual staff. In conjunction with HR Representative, responsible for disciplinary measures and meetings with staff.
  • Delivers trainings to Invigilators and other casual staff. Reviews and updates training materials with Senior Administrative Coordinators to ensure uptodate content and policies are reflected.
  • Receives and responds to communications with Exam Centre casual staff. Reports late arrivals / absences to HR or on tracking system.
  • Prepares relevant reports and statistics to be used for projections and planning.
Other Qualifying Skills and/or Abilities

  • Undergraduate degree is strongly preferred.
  • Proven interview skills and supervisory experience; experience in recruiting and supervising employees.
  • Knowledge of University policies and procedures.
  • Demonstrated ability to take responsibility and deliver results with minimum direction and oversight.
  • Must be selfdirected and able to work autonomously and as part of a team in a fast paced, dynamic and deadlineoriented environment.
  • Demonstrated high level problem solving and organizational skills with a proven ability to administer multiple activities and projects with competing demands and deadlines.
  • Demonstrated skills in implementing and documenting process improvements.
  • Must be approachable and composed under pressure.
  • Proven ability to work comfortably with technology.
  • Proven proficiency in crisis intervention and deescalation techniques, a strong asset.
  • Proven verbal and written communication skills including the writing of reports and other publications.
  • Attention to detail with a proven ability to take initiative.
  • Studentfocused and serviceoriented with a demonstrated ability to build constructive and effective relationships with all levels of staff, students and the public.
  • High level of emotional intelligence and well developed interpersonal skills with a proven ability to deal with confidential and/or sensitive situations with tact and diplomacy.
  • Knowledge of French and English. McGill University is an Englishlanguage university where daytoday duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level 4 (fluent) on a scale of 04.
