Assistant Coordinator, Maintenance & Projects

The salary for this role ranges from $63, 996 to $76,353 as well as includes a comprehensive benefit and pension plan.


Under the general supervision of the Senior Project Manager, within the Engineering, Parking & Transportation Department the Assistant Coordinator, Maintenance & Projects will support the successful delivery of capital projects and programs ensure adherence to contractual agreements and established standards and policies.

The Assistant Coordinator, Maintenance & Projects will liaise with contractors, NPC vendors of record, internal and external departmental staff, supervisors, manager and/or directors to coordinate work.

Working in a cross-functional and collaborative environment the Assistant Coordinator, Maintenance & Projects will be responsible for providing operational, technical, analytical and monitoring support to Managers/Coordinators and other supervisory staff for the NPC's operations' and projects' teams.

To respond to inquiries and complaints and perform other related duties as assigned.


QUALIFICATIONS:


  • Completion of secondary education, working knowledge of various fields of construction and the ability to comprehend construction plans and drawings (Blueprints).
  • Completion of a postsecondary degree/diploma in Civil Engineering, Construction Engineering, Building Science, Architectural, Project Management or trade related programs is considered an asset.
  • Five (5) years of related experience including planning, coordinating, organizing and delegating work of internal staff and external contractors.
  • Knowledge of Ontario Provincial Standards, Contract Law, Canadian Construction Documents Committee documents (CCDC), the Construction Act, Occupational Health and Safety Act, Environmental Assessment Act and the Professional Engineers Act, Contract Documents, specifications and drawings, and legal statutes and proceedings considered an asset.
  • Excellent analytical, problem solving, planning, organization and time management skills are required along with excellent interpersonal skills with the ability to form and maintain strong relationships with internal and external stakeholders and customers.
  • Excellent communication, facilitation, negotiation and conflict management skills are required along with the ability and willingness to learn and keep updated with new / changing legislations, standards and regulatory processes.
  • A basic understanding of planning, design, construction and commissioning of linear and vertical infrastructure and building facilities, including best practices and evolving technologies and methods will be considered an asset. Ability to deal with staff/visitors/public with tact, diplomacy and courtesy.
  • Strong interpersonal/communication and team building skills.

DUTIES AND RESPONSIBILITIES:


  • Assist with the preparation and coordination of tenders, postings and contract documents with NPC procurement and record management departments.
  • In consultation with the Senior Project Manager and/or Project Coordinator ensures requirements of all permits / approvals / agreements etc. are being complied with.
  • Assists with all documentation related to contract changes and conducts analysis of contractor's submissions for changes and claims.
  • Monitors the administration of all approved contract changes.
  • In conjunction with the Senior Project Manager and / or Project Coordinator, ensures all costs related to extra / additional work, that is being completed on a time and material basis, is tracked and signed off as per established NPC policies and procedures.
  • Assists project managers, coordinators and site inspectors in contract related or onsite disputes and refers complex concerns to Senior Project Manager or Project Coordinator.
  • Monitors the Infrastructure operations and facility maintenance work crews to ensure all civil infrastructure/ linear assets and facility maintenance and repair activities are undertaken in a safe, timely, efficient and effective manner, as required.
  • Assists project managers, coordinators with contractor / third party claims.
  • Ensures documents and deliverables are submitted to the NPC's Project Managers and Coordinators at project closure within established timelines.
  • Provides oversight of consultant contract administrators for adherence to NPC standards and applicable legislation and regulations (for example: lighting, landscape or project remediation etc.)
