VWTH is looking for an Events Specialist to help support the fundraising and community engagement activities of our 50th Anniversary Season including a May 2024 Gala and September 2024 Alumni Event.


Working with a team, the Events Coordinator will support the fundraising and communication efforts of VWTH during our 50th Anniversary.


KEY DUTIES AND RESPONSIBILITIES
FOR GALA - May 202- Donations & Sponsorships: Assist with administration and tracking of Gala sponsorships and donations including collection and filing of agreement forms & corporate logos; assist with preparation of thank you letters post event

  • Silent Auction: Assist with monitoring and tracking components secured for online Gala auction including collection and filing of VWTH charity auction forms; collecting and keeping track of individual auction items; assist with preparation of auction thank you letters post event
  • Assist with preparing auction displays for the event and for coordinating setup at the event
  • Assist onsite as needed
  • Other tasks as assigned
FOR ALUMNI EVENT - September 202- Assist with researching, compiling and organizing lists of VWTH Alumni: staff, board, volunteer and key stakeholders

  • Assist with invitation preparation and RSVP tracking
  • Assist with History Project/VWTH Timeline as needed
  • Assist with solicitation and collection of event door prizes from local businesses
  • Assist with setting up displays at event and assist onsite at the event as needed
  • Other tasks as assigned

JOB SKILLS AND ABILITIES

  • Excellent organizational, administrative and project management skills
  • Strong written and verbal communications skills
  • Strong customer service and interpersonal skills
  • Excellent computer skills (word, excel). Experience working in Canva or other design program an asset
  • A polished and professional presentation
  • Comfort working with a volunteer committee, community donors and supporters
  • Ability to work independently and as part of a team

ADDITIONAL INFORMATION

  • The Events Coordinator is required to maintain confidentiality regarding donor information
  • Valid driver's license and use of own vehicle is required
  • Scheduling flexibility, including evening and weekend work, is required
