Reporting directly to The Purchasing and Logistics Coordinator, the
Purchasing Assistant supports all purchasing functions of supplies and ingredients for our Plant-Based Protein food production facility.
The
Purchasing Assistant sources and purchases general and specialized equipment, materials, and services by obtaining quotes from suppliers, placing purchase orders, and following up on order status, keeping department-heads informed of daily changes, shortages, or delays to the receiving of purchases and inventory.
Main Responsibilities
- Establish relationships with suppliers through frequent communication.
- Source and obtain price quotations from catalogues and suppliers and prepare purchase orders.
- Compare quotes for items and submit for review or authorization.
- Obtain rate quotes from transportation resources.
- Negotiate rates with carriers and other vendors.
- Handle, develop and negotiate contracts and agreements with suppliers.
- Fulfill purchasing demands for office and production supplies, including indirect materials.
- Process purchase orders, adjust as per needs of the business, and communicate with suppliers impacted.
- Calculate cost of orders and charge or forward invoices to appropriate accounts
- Process purchases within purchasing authority
- Contact suppliers to schedule deliveries and to resolve shortages, missed deliveries and other issues.
- Prepare and maintain purchasing files, reports, and price lists.
- Communicate effectively both verbally and in written communication with all vendors, customers, and internal resources.
- Assist as coverage for the Purchasing and Logistics Coordinator when needed.
- Other related duties as required.
Qualifications, Skills, and Requirements
- High school diploma or equivalent
- Postsecondary education or work experience relevant to purchasing or administration.
- Experience with Microsoft Office; Outlook, Excel, Word, and MS Project
- Meticulously accurate with data entry
- Strong written and verbal communication skills
- Confidence to negotiate and broker contracts and agreements with individuals, agencies, or groups.
- Demonstrate a positive and professional attitude.
- Time management skills in relation to daytoday duties
- Initiativetaking problemsolver with confidence to present solutions
Work Conditions
Office
- High volume, deadline driven fast paced.
- Demanding multi priority workload
- Prolonged periods of sitting at a desktop workstation
