Purpose:


The Administrative Traffic Coordinator is a driven and detail oriented individual who will be responsible for ensuring the effective flow of cargo through the terminal.

The role anticipates and eliminates potential delays through planning, scheduling and co-ordination of resources to deliver exceptional customer service.


Key Responsibilities:


To liaise and communicate with steamship lines, class one's, truckers, shippers, government agencies and internal staff to coordinate the movement of import & export cargo and resources.

To check and resolve inward and outward EDI errors.

To plan and execute in and outbound rail movements, including internal communication of car specifications and loading plans with operations team.

Process and validate operational and administrative information, responsible to verify and confirm data accuracy against relevant documentation. Where required proactively resolve errors.
Monitor and communicate information/changes to internal and external stakeholders.
Process special service requests for customers and ensure that all billable charges are quoted, approved and invoiced.
Respond to customer enquiries in a prompt and professional manner, escalating where appropriate to ensure resolution.
Complete all necessary forms such as bills of lading, customs documentation and re-manifest/cargo control documents.
Support all administration duties, reporting, billing, etc.

Qualifications, Job Function and Technical Knowledge and Skills:
A degree in business, logistics or similar field is preferred.
Strong organizational, planning and analytical skills, with attention to detail so that workflow is managed efficiently and accurately.
Excellent computer skills, including MS Office, and the proven ability to learn new systems quickly.
Customer service orientation with the ability to communicate effectively with all levels within the organization.

Proven ability to exercise judgment within generally defined practices and policies in selecting methods and techniques for achieving desired results.

Motivation and the capability of working on own your initiative while contributing to the team.
Flexibility to work irregular hours which may include weekend and holiday work as required.
Fluent in English.
Previous Canadian work experience or experience working directly with Canadian industries.
