Job Summary

Organizational Status


The DFP Cluster Finance and Operations Coordinator reports to the DFP Research Facilitator, with general oversight from the DFP Directors.

The incumbent also liaises closely with DFP members (~25 faculty, as well as postdocs and graduate students).

The incumbent interacts with other related UBC departments and units, graduate students, external partners and alumni in the course of their work.

Work Performed

  • Finance & Reporting
  • 1a. TransactionalFinance Processes all financial transactions and student appointments relating to both the CREATE & the Cluster. Performs financial duties, such as receiving and processing expenses, completing journal vouchers, travelrequisitions, and reimbursements. Liaises with industry partners to manage and process invoices. Sets up vendors in WorkDay. Reconciles and prepares the credit card (UBC Visa). 1b. Budget Maintenance (tracking and forecasting) Monitors DFP's budgets (both CREATE & Cluster). Provides budget forecasting and summary reports of revenue and expenditures. Provides financial information and recommendations to the DFP Directors as required. Oversees the integrated budget related to student appointments and stipends. 1c. Record Keeping Develops and maintains all CREATE records and databases. Maintains financial records related to student appointments. Maintains records related to student tracking, data collection, and academic success of all students participatingin the CREATE programs. Maintains records and data related to Cluster operations.

Reporting Assistance- Coordinates, gathers, and prepares financial reports for the DFP Directors on an on-going basis, includingannual progress reports for various granting agencies.


  • General Administration- Responds to student and faculty inquiries regarding the CREATE Graduate Training Program.- Provides logístical support for all CREATE and Cluster activities and initiatives, such as lectures, seminars, workshops, annual showcase, annual retreat, and student events. This includes meeting coordination, eventplanning, catering, set up, communications and implementation.- Organizes the travel/accommodation/meals for visiting lecturers.- Maintains all DFP Space (3 lab/classrooms and an office), including all service/maintenance orders and managingaccess control.- Sets up and attends meetings; creates agendas; takes, transcribes, edits and distributes meeting minutes;books rooms and arranges audio/visual equipment and catering as required.
Consequence of Error/Judgement

  • Consequences of errors could result in serious impact on the relationship between CREATE and Cluster Programs and thegranting agencies, severe project delays and potential interruptions on the flow of funds. Work requires judgment, initiative, attentionto detail and high standards. Delays or errors in the processing of grant materials could potentially result in dire consequences for thequantity and quality of research projects.
  • Errors may impact the credibility and reputation of both the program and the University. The incumbent is required to exercise independent judgment in selecting and interpreting information and in handling
matters of a non-routine nature. Breach of confidentiality could adversely affect the department's association with faculty,staff or professional organizations.

Supervision Received

Receives direct supervision and support from the DFP Research Facilitator. Receives general direction and initial instruction on new responsibilities from the DFP Directors. Liaises with faculty members participating in DFP-relatedresearch activities.

The incumbent is expected to take initiative, problem solve, determine course of action and follow
- through independently.

Supervision Given

May train, supervise and delegate work of students and temporary staff.

Minimum Qualifications


High school graduation, plus two-year post-secondary diploma in accounting, plus three years of relevant accounting experience, or an equivalent combination of education and related experience.

Preferred Qualifications

Experience with UBC financial processes in WorkDay preferred.

Excellent Excel experience would be beneficial.
