Our company is currently seeking an outgoing, enthusiastic Receptionist - Administrative Assistant to fill a
full-time position in our Surrey, BC office.
Responsibilities:
- Answer general phone inquiries in a professional and courteous manner, direct detailed inquiries to the appropriate staff members
- Greet visitors to the organization in a professional and friendly manner
- Sort incoming mail, faxes and deliveries for distribution
- Create and receive shipments and couriers
- Track office supplies and order when necessary
- Provide exemplary communication with professionalism between all departments and clients
- Prepare memorandums and correspondence between office staff
- Maintain communication among employees, ensure all employees are following proper protocol
- Prepare reports and correspondence between office staff and clients
- Ensure file record keeping is organized on the server
- Provide administrative support to Aerospace Department
- Invoicing
- Record keeping
- Schedule appointments and meetings
- Booking travel for staff members, including but not limited to:
- Booking flights
- Arranging accommodations
- Booking ferry reservations
- Car rental services
- Responsible for the planning and organization of sales material such as:
- Business cards
- Brochures and materials
- Maintain office coordination between all branches
- Assist in ensuring that the office has a tidy environment
- Advise management of problem corrections
- Greet students to the organization in a professional and friendly manner
- Answer general phone inquiries in a professional and courteous manner; direct detailed inquiries to the RTO director
- Provide exemplary communication with professionalism between all staff and students
- Ensure file record keeping is organized on the server
- Support with preadmission evaluations, student registration, course booking and invoicing, student record keeping
- Advise management of problem corrections
Ideal Skills and Qualifications:
- Excellent interpersonal, written, and verbal communication skills in English with strong attention to detail
- Well organized
- Ability to work under pressure
- Decision making, planning, and problemsolving abilities
- Professional personal presentation and be customer service oriented
- Strong computer skills i.e., Microsoft Office Suite
- Experience in a related field or general knowledge of the crane industry is an asset
