The Role:
Administrative Assistant - Product Team


Who are you?
The Administrative Assistant primary purpose is to facilitate the smooth running of the Product Department.

In this role, you will be highly motivated to deliver the departments administration tasks to enable the engineering team to focus their talents on Svante's world leading technology.


Job Duties:


  • Helps engineering leadership with planning and organizing presentations, meetings, events, and business cycle needs (budgeting etc.).
  • Creates high quality presentations, excel sheets and word docs in conjunction with the engineering leadership.
  • Facilitates the smooth flow of departments needs into standard company documentation.
  • Handles office tasks, such as filing, generating reports creating PowerPoint presentations, and setting up for meetings.
  • Makes travel arrangements, such as booking flights, cars, and hotels for the team.
  • Produces and distributes correspondence weekly agendas, memos, letters, faxes, and forms.
  • Prepares and reconciles expense reports.
  • Contributes to team effort by accomplishing other tasks as needed.
  • Keeps management informed by reviewing and analyzing special reports and summarizing information.
  • Work closely with the Office Manager to coordinate events, meetings, and activities.

Skills and Qualifications:


  • Outstanding communication and interpersonal abilities.
  • Demonstrated ability to prioritize, juggle multiple demands, and respond to various stakeholders.
  • Excellent ability to create PowerPoint presentations.
  • Prior administrative experience in a related industry would be an asset.
  • Excellent time management skills and ability to multitask and prioritize work.
  • Attention to detail and problemsolving skills.
  • Excellent written and verbal communication skills.
  • Proficient in MS Office Suite.
  • Multitasker with an upbeat attitude.
  • Anticipates the needs of others to ensure a positive experience.
