Reporting directly to the General Manager, the Property Manager is responsible for managing the day-to-day operations of Bay Adelaide Complex in Toronto.
RESPONSIBILITIES:
Day-to-day operations:
- Manage and oversee the daytoday operations of the complex through the onsite management team and supporting departments.
- Manage the roll out and updating of leasing agreements, understanding the landlord and tenant obligations under all aspects of the lease.
- Manage the staff ensuring work is of a high standard and the workload is balanced.
- Manage/coordinate the contract RFP process, with the support of the corporate office, to ensure all contracts are current with the appropriate scope and best pricing.
- Manage main contracts, ensuring contract specifications are adhered to.
- Ensure compliance with fire and life safety and health and safety policies and procedures.
Financial Management:
- Produce annual budgets on behalf of the coownership as detailed in the Property Management Agreement.
- Ensure budgets are managed in accordance with budgeted approvals.
- Review and approve all expense accounts including setting up Yardi invoices for approvals.
- Ensure monthly and quarterly coowner reporting is accurate and of high quality, with financial operating variances well defined.
- Produce the monthly asset report inclusive of financial and operational reporting.
- Ensure billable services are billed in accordance with approved budgets.
- Ensure yearend adjustments and prebills are issued as per the annual business plan.
Tenant Relations:
- Proactively develop and maintain positive relations with all tenants.
- Ensure the delivery of superior service levels and appropriate response timelines are maintained, as measured and reported through the national service benchmarks report.
- Ensure KAM meetings are held with tenants in accordance with the defined policy and to meet the tenant's expectations.
- Work with the regional marketing team to set up tenant events and art activations for the complex.
Accounts Receivable:
- Work closely with the Tenant Services and Accounting Team to monitor accounts receivable monthly to ensure all tenants are current.
- Identify problem accounts or developing issues and advise the General Manager as required.
QUALIFICATIONS
SERVICE / PERSONAL SKILLS:
- Excellent interpersonal and communication skills both oral and written.
- Demonstrated flexibility, organizational and leadership qualities including strong people management, teamwork, coaching and mentoring.
- Demonstrated ability to work independently in a multitask high pressure work environment.
- Professional with a positive attitude and mature, diplomatic demeanor.
- Demonstrated analytical, conceptual thinking and solid problemsolving skills.
- Strong relationship management skills and customer service orientation.
EXPERIENCE & TECHINCAL SKILLS:
- Minimum 7 years as a Property Manager of 1,000,000 sq. ft.
- Staff management experience with multiple reporting departments.
- Preparation of property budgets and business plan experience.
- Ability to interpret complex and detailed lease clauses and communicate to Tenants.
- Excellent negotiating, analytical and problem resolution skills.
- Excellent project management abilities.
- Extensive knowledge of budgeting processes.
- Strong working knowledge of MS Office.
- Knowledge of Yardi or similar accounting system.
EDUCATION/DESIGNATIONS/LICENSES:
- University Degree/College Diploma or work experience equivalent
- REIC, RPA or CPM designation (or working towards completion of designation)
