McMillan has a full-time permanent opportunity for an Information and Knowledge Management Assistant in the Vancouver Office, supporting the Information Governance and Research and Library Services departments as well as being an important member of the Intranet team all of which are part of the national Information & Knowledge Management Team.


This is an excellent opportunity for a new information professional looking to acquire skills and experience in various areas within the information and knowledge management space.

We are seeking an energetic, self-motivated individual who is a team player, excels under pressure, has a flexible attitude and effectively establishes priorities for a demanding workload.


Please note that this role will require work onsite at an offsite storage provider located in the Greater Vancouver Area (approximately 20 days per year).

_Please note that travel to the offsite storage provider is at the expense of the employee._


It is important to note that this role has a requirement to work onsite in the office at all times. Please be aware that McMillan has extensive protocols in place to protect all firm members.

What You'll Do
Information Governance

  • As part of the digitization initiative, manage all requests for the Vancouver office, including tracking, scanning and saving files into Firm's document management system, liaise with Firm members about requests, and monitoring and reporting on onsite file volumes
  • Assist with data cleanup projects in FileTrail
  • Review and reorganize files in boxes in preparation for destruction at the offsite facility
  • Support daytoday operations of the IG department, including retrieval of files from offsite storage and responding to inquiries from Firm members
  • Undertake special projects and other duties as assigned with enthusiasm
Research and Library Services

  • Curate and distribute current awareness and alerts
  • Work shifts on the reference and research schedule to ensure adequate coverage
  • Circulation duties including arranging books on shelves, assisting lawyers and clients with locating books and signing in and out books
  • Looseleaf filing
  • Keeping the physical library in order
  • Coordinate interlibrary loans
  • Undertake special projects and other duties as assigned with enthusiasm
Intranet

  • Monitor and respond to requests for the Intranet Team
  • Maintain department agnostic pages and content such as the home page, policies page and firm calendar
  • Facilitate and execute updates for operations, legal teams and committees
  • Solicit feedback for updates on a monthly basis and keep a tracker of updates
  • Create new pages, add new web parts and build resource libraries
  • Evaluate and report on usage statistics on a regular basis
  • Advance enhancement requests through the EPMO process with the team
  • Undertake special projects and other duties as assigned with enthusiasm

What You Bring

  • Keen interest in information and knowledge management
  • Strong written and oral communication skills
  • Proficiency with Microsoft Office programs including Word, Outlook, Excel and PowerPoint
  • Experience with SharePoint Online is an asset
  • Able to prioritize tasks from different work streams and work effectively under pressure
  • Comfortable working both independently and in a teamoriented, collaborative environment
  • Excellent organizational skills and a keen attention to detail
  • Demonstrate good critical thinking, analytical, and problemsolving skills
  • Strong technical skills with the desire and skill to adapt to emerging technologies
  • Dependability and flexibility in terms of overtime and shift changes, with short notice
  • Ability to lift boxes of files up to 35 pounds
