The Administrative Assistant provides confidential administrative, communications, data and report compilation support to the supervisor and the supervisor's direct reports in the Office of the Vice Provost, Students & International (VPSI).

The role prepares and reviews briefing notes and summaries for meetings and presentations; and prepares information packages for the VPSI Office and its members and customers.

The position coordinates the scheduling of internal and external meetings, makes travel arrangements, administers expense claims, reconciles corporate credit card activities, provides financial support for annual budgeting activities, and supports project management activities and initiatives within the VPSI Office.

The position provides the supervisor with administrative support on confidential issues pertaining to student societies and confidential, time sensitive VPSI Office issues.

This role responds to a wide range of general and confidential inquiries; liaises with internal and external contacts; and initiates follow-up actions and research.


Qualifications:


Bachelor's degree in Business Administration, or other relevant discipline and four years of related experience, or an equivalent combination of education, training and experience.


  • Excellent knowledge of the entire Student Services organization, to include service delivery model, operational requirements and strategic change initiatives that are led by the supervisor.
  • Excellent interpersonal and communication (verbal, written, presentation) skills.
  • Excellent organizational, customer service, problemsolving and analytical reasoning skills.
  • Excellent communication skills.
  • Excellent attention to detail, including accuracy of data.
  • Excellent ability to manage multiple priorities and changing priorities; and plan/organize own schedule and timelines to meet commitments.
  • Excellent ability to understand and interpret University policies and procedures.
  • Excellent ability to exercise initiative and diplomacy, and maintain an astute customer service approach.
  • Excellent ability to exercise mature judgment in the composition and distribution of critical and highly sensitive and confidential information and correspondence.
  • Strong ability to develop relationships and partnerships and to work collaboratively at all levels and areas within the organization, University and communities.
  • Strong ability to respond to critical incidents by assimilating information accurately and objectively to make sound assessments of situations.
  • Ability to deviate from established practices and procedures as is needed to service the supervisor's issues.
