Great opportunity for a self-driven EXECUTIVE ASSISSTANT to join Aptum.

The Executive Assistant performs a wide range of administrative and office tasks supporting the CEO & President in facilitating the efficient operation of the organization.


HOW DO YOU BECOME AN INTEGRAL PART OF THE TEAM?

  • Executive Assistant Responsibilities:_
  • Provide administrative support to the Executive Team.
  • Prepare presentations (PowerPoint or others) for monthly and quarterly board meetings, ensure all documentation is received and reviewed on time.
  • Manage CEO's agenda, arrange lunches, meetings, and travel requirements.
  • Work in conjunction with Executive Team to book flights, prepare agendas, arrange accommodations, and transport to andfrom airports.
  • Arrange inoffice meetings and coordinate with all participants regarding flight schedules and arranging of accommodations
  • Manage expense reports for CEO and other Csuites on aneeds basis
  • Office Support Responsibilities:_
Relationship building cross functionally specifically HR, legal and Finance.

Manage other executives' calendars on a needs basis.


Manage the Site Leader program, work in conjunction with Finance and other site leaders to manage social budgets and activities.

Manage timely approval by cost owner (follow up with approver to ensure timely approval)

Create and maintain filing systems, both electronic and hard copy


WHAT YOU HAVE TO OFFER APTUM:

  • Minimum 5 years in an Executive Assistant capacity
  • Highly selfdriven, ability to manage own agenda with mínimal supervision
  • High sense of discretion and confidentiality
  • Able to manage time with multiple tasks by being organized
  • Appetite for sharing and leading ideas to improve the positionprocesses and Aptum as a whole
  • Ability to work nationally and internationally, mostly between Miami and Toronto
