ADMINISTRATOR

FACULTY OF ACADEMIC STRATEGY & INTEGRATION


NorQuesters are difference makers and we're searching for someone dedicated to finding ways forward to join our Faculty of Academic Strategy & Integration (ASI) as an Administrator.


Reporting to the Business Operations & Integration Team Lead in the ASI Dean's office, The ASI Administrator will assist the Academic Strategy and Integration division in supporting a variety of projects, particularly for the Office of Student Judicial Affairs.

The position involves developing strong relationships with key stakeholders at the College, utilizing technology to collaborate and communicate with various groups, following up with requests, as well as collecting and organizing items needed for project work.

Other related administrative duties include managing records and communication and offering support within the division. This role brings a high level of human services and business acumen to the area.


HOW YOU'LL MAKE A DIFFERENCE

  • Prepare and track contracts for the Division, following all Divisional and College processes and requirements.
  • Coordinate approvals of documents for the Division by working with internal and external stakeholders.
  • Process and add analysis codes to internal transfers.
  • Maintain data accuracy in various systems, including ESAT, Orbis (CareerQuest Hub), Symfact, and other CRM systems.
  • Work within the Student Judicial Affairs Office to coordinate the information gathered from active and resolved case files and to compile and upload the data into a file management system.
  • Collect statistical data and upload to divisional reporting.
  • Provide administrative support to students.
  • Answer front line questions about the office as first point of contact.
  • Responsible for the administration of hearing panels, setting up classroom presentations and Academic Integrity workshops (book rooms, send invitations, manage RSVPs, update attendance, release holds on PeopleSoft).
  • Work with Business Operations team members to keep apprised of processes and provide cover off at reception areas when needed.
  • Screen and direct learner requests for correct service via phone or inperson.
  • Book, cancel, or reschedule appointments using various systems including Q-Nomy, Outlook, Appointment Plus, and SharePoint.
  • Monitoring phone calls and generic inbox.

WHAT YOU BRING

  • Diploma or Bachelor's Degree in business, administration, or related field. A combination of education and experience can be considered.
  • 1+ year experience working with large groups of stakeholders.
  • 1+ year administrative experience, preferably in a postsecondary environment.
  • Previous experience with administrative tasks, particularly data entry.
  • Experience and excellence with Microsoft Word and Excel.
  • Professional communication skills and an understanding and respect of confidentiality.
  • High level of professionalism and experience providing excellent customer service.
  • Ability to sort and categorize course material in an effective way.
  • Ability to show respect for others and relate to people from varied backgrounds, ethnicities, cultures, and abilities.
  • Strong attention to detail to oversee student prerequisites, manage contracts, and oversee microcredentials and badging information.

SALARY:
$22.00-$27.57 hourly reflective upon what you bring, AKA your education and experience. This is a casual position that also includes 11.2% in lieu of vacation and benefits.
