Spectrum is seeking a dynamic
Executive Assistant to support our CEO, CFO, and COO. In this role, you will be the lynch pin who holds everything together. You will organize, systemize, and optimize.
You will have a hand in multiple projects, ensuring all dots are connected and everyone is on the same page.

In this role, you will work out of Spectrum's corporate office at Yonge and Bloor (minimum 4 days/week) in the heart of Yorkville.
Executive Support:
- Manage and maintain executives' schedules, appointments, and travel arrangements.
- Coordinate and schedule meetings, conferences, and special events for the executive team.
- Prepare and organize materials for meetings, presentations, and reports.
- Act as a liaison between executives and internal/external stakeholders, including clients, vendors, and other team members.
- Handle confidential and sensitive information with discretion and professionalism.
Administrative Support:
- Maintain accurate records, files, and databases for the executive team.
- Prepare and process expense reports, invoices, and other financial documents.
- Conduct research and gather information as requested by the executives.
- Assist with special projects and initiatives as assigned by the executive team.
- Prepare and coordinate venues, materials and catering needs for corporate meetings and events
Facilities Management:
- Oversee the daytoday operations of office facilities, including maintenance, repairs, and cleanliness.
- Coordinate with external vendors and service providers for facilityrelated services, such as cleaning, security, and utilities.
- Manage office supplies inventory and procurement, ensuring adequate stock levels at all times.
- Identify opportunities for improvements in facility management processes and implement bet practices to enhance efficiency and costeffectiveness.
Qualifications
- 5+ years' experience of Executive Administration, providing support to senior level management or relevant experience
- Office management experience an asset
- Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines
- Excellent communication and interpersonal skills, both written and verbal.
- Ability to work in a fastpaced environment, adapt to change and navigate continuously shifting requirements
- Highly proficient in Microsoft Word, Power Point, Excel, Outlook. Ability to create and edit documents, PowerPoint slide decks as per guidance provided;
- Ability to handle confidential information with integrity and discretion
- Detailoriented with a high level of accuracy in work
- Proactive and resourceful problem solver with a positive attitude and strong work ethic
