Role Description:


The Board & Shareholder Liaison provides comprehensive support and coordination on behalf of the President's Office to the Board of Directors.

This role plays a key administrative and strategic support role to senior executives, and supports the successful operations of the Board of Directors.


The Board & Shareholder Liaison fosters professional and effective relationships with the organization's critical stakeholders, including government officials, industry partners and corporate partners.

The role is responsible for the effective collaboration between the Board of Directors, the CEO and members of Events East's Executive Team and is a key element to the organization's governance structure and legislative compliance.


The primary purpose of the role is to provide governance and administrative guidance and support to the Board, its Committees, the CEO and the Executive Team while also supporting other key relationships that align with the organization's long-term strategy.


Key Responsibilities
Board Of Directors Management & Support

  • In consultation with the Chair, Committee Chairs, the CEO and Executive Team, coordinates, plans and administers Board and Committee meetings. This includes preparation and distribution of agendas, materials, meeting minutes etc.
  • Establishes a direct relationship with the Board Chair to support preparation for Board meetings and any other related items, including briefings, correspondence, etc.
  • Maintains a record of all Board matters, in compliance with legislative requirements and public sector standards.
  • Ensures annual workplans for the Board and Committees are in place and implemented.
  • Ensures compliance with legislation, bylaws, shareholder policy directives and other public accountability requirements.
  • Attends all Board and Committee meetings and is responsible for all associated coordination.
  • Oversees and maintains the Board's governance structure, including annual evaluations, governance manual, Committee structure and Board policies.
  • Supports the Board education program aligned with public sector governance and best practices.
  • Coordinates and administers all new Board member orientation and onboarding requirements.
  • Supports the delivery of the organization's shareholder relations framework, including coordination of shareholder meetings, maintaining minutes and all necessary correspondence and follow up.
Executive Liaison Support

  • As required, on behalf of the President's Office, liaises with key partners, industry and community stakeholders to foster positive relationships.
  • Acts as the primary point of contact for key community partnerships to ensure fulfillment of partner activities and maintains strong working relationships.
  • Coordinates and plans the execution of events on behalf of President and Board Chair as required.
  • Coordinates and manages the hosting program on behalf of the President's Office, including stakeholder invitations and correspondence.
  • Manages and maintains a reliable database of key stakeholders and partners.
  • Develops relationships with key counterparts in industry and government organizations.
  • Manages correspondence as required on behalf of President's Office.
  • Other administrative duties as required to support the Executive Team, which may include special projects from timetotime.

Education & Experience

  • 35 years' experience working in a professional environment, including progressive administrative responsibilities and experience with an orientation to customer service.
  • Postsecondary degree or certificate or commensurate experience/training.

Job Specific / Technical Knowledge

  • Experience supporting and liaising with Csuite executives, preferably in a multistakeholder environment or equivalent environment.
  • Expert level written and verbal communication skills with an interest in internal and external communications and relationship management.
  • Strong problemsolving and decisionmaking ability; comfort working independently and selfmanaging.
  • Strong organizational skills that reflect ability to perform, prioritize multiple tasks and meet deadlines.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, Board Members, external partners and government officials.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands and demonstrates the highest level of service and response.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel and Power Point).
