Position Summary:


The incumbent provides day-to-day operational and administrative support to the Chair of the School of ESL and Immigrant Education, the department coordinators and other department managers.


Key responsibilities:


  • Responsible for all HR/payroll process management including nonfulltime faculty contract production and adjustments, faculty (SWF) workload preparation, and accurate tracking of faculty records sick days, vacation, and PD time.
  • Maintains files and prepares expense forms, handles credit card reconciliations through the Concur system and prepares excel sheets for the expenditures of the department and sends them to finance.
  • Manages petty cash expenditures; maintains supplies inventory.
  • Schedules job applicant interviews and communicates with applicants about next steps.
  • Handles the Chair's calendar by booking appointments and meetings and liaising with internal and external stakeholders.
  • Manages departmental special projects.
  • Makes room bookings (physical or virtual), orders refreshments for school meetings, PD training and special sessions (ex. guest speakers).
  • Makes occasional travel arrangements for the Chair.
  • Assists in supporting the School of ESL by liaising with other departments in the College and external stakeholders (ex. PAC
  • Program Advisory Committee members).
  • Assists support staff in responding to faculty requests and provides back up student service during peak periods.
  • Other duties as assigned.

Educational and Experience Requirements:


  • Threeyear diploma or degree from a recognized postsecondary institution in Office Administration or equivalent.
  • Minimum three years of experience working as part of a team in a diverse, fast paced, versatile college environment, which requires a high level of focus on ensuring the administrative processes are handled in the efficient way and the services related to faculty, staff, students within the College.

Interview process may consist of a practical skills component.
