Administrative/Medical Office Assistant - Safer Supply Program (37.5 hrs/week, 11-month contract)

$24.38 per hour plus 6% in lieu of benefits and optional pension (HOOPP)


Organization Overview:


The Peterborough 360 Degree NPLC is a dynamic community-based interdisciplinary primary care clinic that provides comprehensive health services to residents of Peterborough City and County with particular expertise in providing care to people whose health is impacted by poverty, homelessness and poor access to the social determinants of health.

The 360 Degree NPLC operates from a philosophy of harm reduction and is committed to working from within an anti-oppressive and anti-racist framework that is trauma-informed and which values cultural humility and inclusiveness.


The Safer Supply Program (SSP) provides community-led, flexible, low-barrier access to pharmaceutical medications through a health equity and harm reduction lens.

This program offers primary care, alongside an interdisciplinary team that includes nursing, mental health supports, health system navigation, and peer support to attend to the social and structural determinants of health impacting the lives of our clients.

The goal of the program is to reduce the unnecessary deaths due to the unregulated and toxic street supply of drugs, and to provide low-barrier access to a safe alternative for people though relationship-based healthcare.


We are looking for an Administrative/Medical Office Assistant who:

Role and responsibilities to include:

Provide administrative support for the Safer Supply Program team and leadership team:

  • Support daily huddle, take notes, and identify and communicate areas of concern with appropriate leadership team member
  • Support with daytoday office needs, including managing orders and office equipment requests, scanning/faxing/copying, communicating with partners and other members of the team
  • Support the interdisciplinary team with care coordination functions, which includes managing primary provider schedules, liaising with supportive workers, and improving program documentation (e.g. care plans, process documentation)
  • Support leadership team with staff attendance tracking
  • Schedule meetings and case conferences, support with setup, including managing technology needs and meeting documentation
  • Support the leadership team with daily operations of a busy program
  • Support with referrals and correspondence
  • Support with ordering of supplies
  • Support with special projects and initiatives, as required
  • Collaborate with 360 NPLC administrative team and leadership team as necessary
Provide reception support for Safer Supply Program and administrative support to participants:

  • Greet and check-in particpants and visitors
  • Manage client requests for appointments, complete message/task follow up and support with client flow
  • Make appointment reminder calls to participants
  • Manage paper flow, including scanning documentation to client records to the attention of the primary care provider
  • Provide clerical services, including creating new client charts, updating demographics and supporting in the completion of forms, as needed.
  • Assist with other clerical duties as necessary
  • Assist with harm reduction resource distribution
  • Maintain client confidentiality and ensure privacy best practices are followed

QUALIFICATIONS

  • College diploma or certificate in office, medical or business administration required
  • High proficiency with Microsoft Office software: Outlook, Word, Excel
  • One to three years' experience working with customers and handling a fastpaced office environment required. Experience in a health care setting preferred
  • Strong computer and technical skills, with proficiency using Microsoft Office Suite
  • Experience with Electronic Medical Records is an asset
  • Effective time management, decision making, and organizational skills
  • Selfstarter with superior attention to detail and able to work within set timelines
  • Strong customer service skills especially as they relate to our priority populations
  • Lived experience of substance use, mental health, and homelessness an asset
  • Ability to work independently and with an interdisciplinary team
  • A collaborative team member and supportive of interdisciplinary practice
  • High level of confidentiality
  • Flexible towards change
