Job Description Summary


The Human Resources Coordinator focuses primarily on providing HR advice and guidance on all HR matters to management and staff in a highly complex, diverse, and sensitive portfolio.

The portfolio includes the President's Office and the units that fall under it such as the Office of University Counsel, Board of Governors Office, and the Office of Enterprise Risk and Assurance.

The portfolio also supports three Vice-Presidents and the units that fall under their purview - across both the Vancouver and Okanagan campuses.

Specifically, these VP units are the Provost and Vice-President Academic - Vancouver Campus, the Vice-President Research and Innovation, and the Vice-President Health.


The Office of the Provost and Vice-President Academic provides leadership to UBC's faculties and works in collaboration with our Deans to deliver on UBC's academic strategy.

It is comprised of 10 units, 12 Faculties, 4 programs, and 4 colleges.

The Office of the Vice President Research & Innovation, and its 15 portfolio units help to coordinate and provide the environment to pursue world-leading impactful research.

This role liaises and collaborates effectively across these units to ensure consistency in processes throughout the portfolio.

This position provides advice on a wide variety of human resources management issues related to staff.

In particular, this position provides specialized expertise on all aspects of complex recruitment and job classification, provides advice on multiple collective agreements/Handbooks and employment legislation, and implements various portfolio wide human resources initiatives and projects.

This role also serves as a resource for the President's and VP Offices.


This role supports executives, UBC's senior leadership, and managers with the classification and recruitment processes including drafting job descriptions, overseeing the HR system, Workday, as well as assisting in change management initiatives.

Organizational Status

Reports to the Senior HR Manager and works closely with the President's Office, VPA, VPRI, VPH portfolio HR Team.

Works collaboratively with managers and staff at all levels within the portfolio, Faculty Relations staff, and is a member of the Human Resources Advisory Services team.

Works with various departments within UBC, including but not limited to:
Employee Relations, Workplace Learning & Engagement, Compensation, Return to Work, Pensions, Payroll, and Benefits.

Work Performed


Recruitment and Onboarding:

  • Provides specialized recruitment expertise to managers within the portfolio by providing extensive knowledge regarding behavioural interviewing skills, staffing, position description evaluation and classification. Responsible for sharing recruitment best practices across the portfolio for staff and student appointments.
  • Oversight of all recruitment for staff and student positions for the President's Office, The Enterprise Risk and Assurance Office, Board of Governors Office, The Office of the University Counsel, The VP Academic and Provost Office, the VP Research and Innovation Office, and VP Health

This includes:

creating job postings, participating in the interview process and providing guidance to recruiting managers in the design of interview questions, making selection recommendations; conducting reference checks, finalizing offers of employment and onboarding of new incumbents.


  • Facilitates the appointment/reappointment process for senior leadership and Faculty Dean positions. This includes; gathering information and finalizing appointment documentation. Handles the confidentiality and expediency of the workflow involving both faculty and staff appointments.
  • Reviews job descriptions within the portfolio and discusses classification levels ensuring equity and consistency among positions in the units and across the broader portfolio.
  • Manages all aspects of onboarding processes, including identifying training needs, developing and implementing training/orientation programs necessary to meet those needs for new employees in the President's and VP's Offices. Ensures accura
