The Office of the Registrar proudly supports McMaster University's academic mission through the creative, efficient provision of core administrative student services and the support of staff and faculty across all areas of the university community.

We are a smart, collaborative staff of approximately 100, spread across 9 departments:

Student Services, Aid & Awards, Student Recruitment, Undergraduate Admissions, Student Records, Systems, Scheduling & Examinations, Student Communications and Central RO Administration.

This supportive and dynamic team works together to assist students on their journey from the beginning of their time at McMaster University until they graduate.


Job Summary:

The Assistant Registrar, Undergraduate Admissions reports to the Senior Associate Registrar, Undergraduate Admissions.

The Assistant Registrar is responsible for the efficient and effective delivery of admissions activities and services to undergraduate applicants and academic offices by providing leadership and operational excellence.

The Assistant Registrar will lead the team to admit top quality students from around the world, upholding the reputational brand of McMaster University.

As a valued member of the Admissions Office, the Assistant Registrar will contribute to the delivery of the department's overall strategy and provide recommendations to the Senior Associate Registrar, Undergraduate Admissions to ensure the successful operation of the Undergraduate Admissions Office.


Accountabilities:


_ Operational leadership_

  • Responsible for interpreting policy to ensure accurate and thorough information is used to guide the Admissions process and to inform members of the public, prospective students, counselors and other institutions.
  • Knowledgeable and has in depth understanding of admissions policies for all McMaster undergraduate programs, across all phases of the admissions cycle.
  • Ensure the admissions team research, review, and analyze admissions criteria from national and international institutions and keep abreast of changes.
  • Oversees the analysis of system error reports and guides staff on establishing procedures to correct errors.
  • Plan and coordinate large scale applicant correspondence.
  • Conduct analyses of postsecondary institutions and exchange information with internal and external admissions staff to discuss and share information on admission requirements, various procedures, policies, and issues being addressed at other institutions.
  • Recommend and develop improvements in response to evolving needs of applicants, the university and changing policies and practises.
  • Coordinate faculty approval and support and prepares analysis of statistical data for McMaster's Enrolment Management Team.
  • Contribute to the content of admissions information for applicant groups in consultation with Faculty and Program offices ensuring the accuracy of related timelines and promotional publications and websites.
  • Act as the primary liaison between the University and Ontario Universities' Application Centre (OUAC).
  • Act as a point of contact for applicants, students and parents.
  • Assist applicants throughout the admissions process, in coordination with the admissions team, faculty and departmental offices.
  • Review and assess complex applicant files.
  • Manage difficult cases that reach a point of escalation with tact and diplomacy.
  • Determine individual admissions decisions within policy guidelines where required.
  • Take initiatives to grow and manage the team's knowledge and ensures the team stays current. with information, trends, and best practices in domestic and international student admissions.

_Human Resources Management_

  • Directly manage a dynamic Admissions team including: Admissions Officers, Document Processors, and Admissions Assistants.
  • Lead and manage all functions related to human resource management, i.e., assignment of work, performance management and professional development.
  • Recruit, hire, train, supervise, and develop employees.
  • Ensure appropriate staff work performance; take disciplinary action when required.
  • Act as first point of contact for staff on labourrelated issues.
  • Communicate all policy and procedural changes to staff.
  • Strategize and advise on the department organizational structure and resources.
  • Manage vacations and absences and complete staff onboarding and offboarding procedures.
  • Manage and provide direction to staff, prioritizing workflow, assigning work and overseeing the admission process.
  • Identify and implement metrics to monitor admission processing effectiveness and develop action plans and objectives to continuously create efficiencies in workflow by identifying and implementing process improvements.
