The Pre-Arrival Client Registration and Referral Portal aim to test a centralized registration and referral system as a means to streamline the process that is cost-effective and efficient for both clients and service providers against the current multiple-registration process.

The first component of the portal is the centralized client registration that simplifies client efforts in accessing pre-arrival services. With this model, pre-arrival clients only need to complete one registration form for all the eligible IRCC-funded pre-arrival programs.

The second component is the cross-referrals, which feature automated data transfer and promote an information-sharing mechanism among service provider organizations (SPO).

Service providers can easily access information such as the pre-arrival program(s) the client has registered for thereby reducing duplication in cross-referrals and easing the amount of work by program staff.

This contributes to a more responsive and coordinated service delivery model.


The Bilingual (English/French) Administrative Representative/Intake Worker is part of a diverse team helping overseas immigrants find information and assisting with their settlement in Canada.

The Administrative Representative/Intake Worker welcomes and provides excellent customer service to overseas clients, particularly French speakers.

The position requires administrative support including validating clients' registration information, assisting clients in registration, providing access and guidance to eligible clients to the portal, entering clients' activity records into the funder's database, and supporting senior staff with statistical reports.

The Administrative Representative assists overseas immigrants to make a smooth transition into Canada.


In this role, you will:


  • Examine pending registration requests, determine the client's eligibility for accessing IRCCfunded prearrival services.
  • Provide eligible clients with access to the Pre-Arrival Client Registration and Referral Portal, providing eligible clients with an orientation to all Pre-Arrival services available.
  • Refer ineligible clients to appropriate government services or community agencies.
  • Assist clients who have difficulties using the portal's online registration tools with guidance.
  • Perform data entry input and retrieval, ensuring the data is complete and accurate; provide support in program statistical reports.
  • Assist in updating and maintaining the resource database.
  • Work closely with Project Coordinator and Program Team Lead to troubleshoot technical issues, minimize site interruption, and optimize site responsiveness.
  • Support the coordination and following up of logistics for online events such as vendors, lodgings, equipment, and other necessary details.
  • Perform various administrative support duties such as ordering necessary office supplies and maintaining an accurate inventory of all program supplies and equipment.
  • Ensure confidentiality of sensitive information and compliance with YMCA and funder privacy policies.
  • Perform other duties as assigned.

You bring:


  • Fluent in French and English
  • Completion of some postsecondary courses in related fields and/or equivalent experience
  • Previous administrative/clerical work experience or other relevant experience
  • Knowledge of settlement services and community information resources is an asset
  • Experience and sensitivity in dealing with members, staff and volunteers of different cultural and racial backgrounds, including visible and nonvisible dimensions of diversity
  • Welldeveloped interpersonal, and relationship building skills; ability to establish rapport and excellent communication with members, community partners, staff and volunteers; excellent written communication skills.
  • Flexibility regarding work location and hours, including evenings and Saturdays
  • The Ability to communicate in another language is an asset
