Description

Nature of the work:

  • The principal and customary work of the employee in this employment class consists in performing a set of administrative functions of a relatively complex nature according to established methods and procedures and clerical functions related to activities in their area.
  • Reporting to the Communications Coordinator, the administrative support position works closely with the Foundation Consultant, and carries out duties associated with the functioning of the Foundation's operations in line with its strategic goals and initiatives

Responsibilities:


  • Provides administrative support and assist with financial and accounting matters related to the Foundation in English; when necessary, respond to inquiries from Foundation consultant, auditors, financial consultants or board members;
  • Executes banking transactions electronically and in person, as needed;
  • Organizes and updates files in Sharepoint to document all Foundation activities;
  • Updates entries in QuickBooks in accordance with protocols;
  • Becomes familiar with giftacceptance policies;
  • Maintains information in Donor Perfect;
  • Works collaboratively with Awards and Scholarships to ensure availability and smooth transfer of funds;
  • Works with Finance to effectuate transfer of funds between College and Foundation accounts;
  • Supports research and data input for the alumni database, potential sponsors, donors and supporters;
  • Updates information on the Foundation webpages and in collaboration with Awards and Scholarships as needed;
  • Assists in the planning of activities or events online or in person;
  • Provides online and inperson support to all aspects of the Golf Tournament and other fundraising activities;
  • Assists in the preparation of the materials for Foundation Board meetings in collaboration with the Board Secretary;
  • Contacts and distributes Board packages in advance of meetings;
  • Prepares and issues tax receipts;
  • Formats appropriate form letters and/or proposals for distribution to Foundation contacts;
  • Any other related duties.

Length of the contract:
August to May 31, 2024


Requirements:


  • Qualifications:
  • Have a diploma of vocational studies (DEP) with appropriate specialty or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority and have at least one (1) year of pertinent experience.
  • Conditions:
  • Intermediate accounting knowledge (testing may be required);
  • Intermediate knowledge of Word and Excel (testing may be required);
  • Basic conversational French and advanced English language skills both oral and written
  • Excellent organizational skills;
  • Knowledge of QuickBooks or similar accounting software, an asset.
