The Position

  • As a
    Coordinator, you will report to a Manager of the Recreation department. You will assist in the coordination and execution of rental requests internal and external as well as aiding the team with program bookings, scheduling and administrative cohesion. Must be able to anticipate project needs, discern work priorities, and meet deadlines with little supervision, and be willing to work occasional evenings and weekends. This role will also include aiding the director and fellow team members in other related Recreational tasks and files for the department.

Work Schedule:

  • 35h/week management position
  • Monday to Friday, 8:30 a.m. to 4:30 p.m.
  • The employee will sometimes be called upon to work outside of normal working hours: occasionally, on evenings and weekends, during special events, and during other activities required for the smooth running of the department.

  • Plans, organizes, coordinates, promotes the facilities with the context of rental requests.
  • Initiates, coordinate and/or participates in all efforts to publicize promotion of the City and department activities, services and events;
  • Assists in coordinating publications, pamphlets, newsletters, and other materials as needed to promote the recreation facilities;
  • Schedules and maintains communication with renters the team and participants;
  • Assists in preparing a variety of publications, materials, and programs for events;
  • Liaises with client to determine requirements and discuss arrangements. Coordinates all arrangements such as locations, room bookings, setups, cleanliness, staffing, etc.;
  • Conduct research, make site visits, and find resources to help staff make decisions about rental possibilities;
  • Create and revise room layouts for each event / request
  • Propose new ideas to improve the planning and executing of rentals and their agreements.
  • Keep records of event bookings, inventory and agreements.
  • Coordinate appointments and visits to view space, and scheduling of events on the calendar.
  • Prepare and modify event contracts as requested.
  • Assist with space contracts and book event space, order supplies and audiovisual equipment (when needed), order event signs, and ensure appropriate décor to meet the quality expectations.
  • Undertakes other related recreational duties to aid and assist the team as requested by the director.
Skills, Knowledge and Expertise

  • Ability to manage multiple projects and work assignments from a variety of staff and volunteers;
  • Excellent interpersonal skills both in person and by phone, with high professionalism;
  • Ability to accomplish projects with little supervision;
  • Recommended 3 years experience with office administrative management;
  • Recommended 1 year experience coordinating rentals and bookings
  • Strong verbal and written bilingual communication and interpersonal skills;
  • High productivity, attention to detail and ability to work well in a team environment are essential.
