Duties:
- Provide administrative and secretarial support the clinicians with the Substance Use and Concurrent Disorders program.
- Schedule appointments using electronic scheduling system.
- Create and maintain effective procedures to support activities of the Program and the clinics (consultation appointments, clinical team meetings, statistics tracking, etc.).
- Responsible for telephone communications and answering/redirecting enquiries.
- Perform general office duties such a filing, photocopying, sending faxes and ordering office supplies.
- Prepare requisitions for printing, stores, work orders, etc.
- Input data into program database
- Organize special events and activities.
- Work in a manner that is in compliance with staff and patient/client safety practices, policies and procedures of The Royal.
- Ensure a work environment that is conducive to The Royal Harassment-Free Workplace Policy.
- Other duties as assigned.
Qualifications:
- Completion of OSSD or equivalent.
- Office Administration or equivalent College certification and/or diploma OR relevant combination of education, training and experience (minimum experience two years full time secretarial or clerical experience in a medical environment).
- Knowledge of medical terminology.
- Typing skills 45 words per minute minimum, with high accuracy level.
- High level of initiative and judgment.
- Excellent communication, organization, problem solving, and customer relation skills, with the ability to relate to persons with mental illness.
- Excellent time management skills with the ability to prioritize and meet firm deadlines.
- Must be able to multitask and work with multiple interruptions
- High level of attention to detail and commitment to ensure accuracy of work.
- Ability to work independently as well as a team member, and work cooperatively with other secretaries as well as research and clinical staff from a variety of disciplines.
- Bilingual (French/English) is mandatory. English level A is mandatory in oral expression, oral comprehension, reading comprehension and written expression. French level A is mandatory in oral expression and oral comprehension.
Salary Range:
- $30.07 to $32.66 per hour
