What you can expect in a typical day
We have an exciting opportunity to join our team as a temporary Administrative Support for Customer Service. The Administrative Support for Customer Service, is the key contributor to the Irving Blending and Packaging operations.
Supporting the Customer Service Team and the Sales team, you will provide front desk coverage; which includes welcoming Irving Blending and packaging guests, signing visitors into the building and ensure safety protocols are followed for entry.

- Maintain EHC ( Environmental handling charges )spreadsheet for customer fees.
- Maintaining customer price updates and price lists in the ERP system
- Sage.
- Setup/updating customer pricing and shipto's based on daily requests from sales.
- Provide general administrative support to the Customer Service Team and the Sales team.
- Provide counter service via employee orders; coordination of shipping and payment.
- Daily maintenance of the pricing database.
- Credit Card Processing-Canadian Payments Only
- Daily reconciliation of Credit Card and Cash Payments
- Manage bulk vendor orders.
- Welcome visitors by greeting them, in person/on the telephone.
- Maintain security by monitoring logbook and issuing visitor badges.
- Inquire and respond to miscellaneous customer requests
- Researched and resolved billing and invoice problems
- Input orders, daily invoicing, processing payments, price updates.
- Excel skills required in this role.
- Very organized; able to multitask effectively, manage multiple priorities, and able to quickly change priorities.
- Customer focused with a "how can I help" mindset.
- Good scheduling skills and able to respond to changes quickly.
- Good data management skills.
- Excellent attention to detail; willing to question what doesn't make sense.
- Bilingualism is an asset
- Travel is not a requirement for this position.
- High school diploma required, and office administration diploma desirable.
- Minimum 2 years of experience, specific to administrative support.
- Experience using different software systems and eager to learn new ones.
- MS Office: Word, Excel, PowerPoint.
- Experience with software programs such as SAGE, Oracle is an asset but not necessary; we will train you.
