Role Summary:


The Recruitment Specialist is accountable for providing administrative support and for ensuring the smooth daily operations of the Talent Acquisition function.

This role reports into the Director, Recruitment.


Role Specific Accountabilities:
Talent Acquisition and Administration

  • Responsible for coordinating faceto face interviews, assessment testing, in addition to coordinating or performing reference checks (when applicable)
  • Conducting phone screens and resume reviews upon request
  • Conducting onboarding sessions for new hires
  • Provides information for third party employment verifications, ensuring proper authorization is obtained from employee and uses discretion when releasing confidential information
  • Posts jobs externally (e.g. CMA/universities etc.)
  • Updating workflows in Workday and partial onboarding functions in Workday
  • Responsible for other recruitment related functions; e.g. Communicating with various vendors, agencies, Thomas International/Universities and 3rd party partners
  • Assisting in talent management initiatives and projects as required
  • Assists with coordination of special events and team activities
  • Responsible for ordering supplies for onboarding
  • Provides other administrative duties and support as required including reports, presentations, meeting organization, luncheons, and special functions
  • Responsible for ensuring that vendor lists and information is updated in the Microsoft teams channel and in the restricted drive
  • Monitors and updates budgets, create and maintain ecopy filing of invoices; code invoices, compiling monthly accruals list and working with Planning Analysts in Finance over any cost centre discrepancies
  • Other duties as assigned

Skills/Knowledge/Competencies/Capabilities:

  • Postsecondary education
  • 12 years' experience working in HR


  • Microsoft Office skills

  • Word, Excel and PowerPoint
  • Experience with Microsoft Outlook and Microsoft teams is preferred
  • Proven analytical ability, sound judgment, independent and creative thinking
  • Effective planning, multitasking and organizational skills
  • Experience handling matters of a confidential nature
  • Solid business acumen
  • Demonstrated good judgment and ability to work with a sense of urgency
  • Welldeveloped interpersonal and communication (verbal & written) skills
  • High level of enthusiasm and energy, responsiveness to external drivers and internal client issues
  • Demonstrated positive attitude and selfstarter
  • Work collaboratively as a team member within the HR department to promote HR best practice environment that encourages continuous improvement, innovation and learning
