JOB SUMMARY:

Reporting to the Residence Manager within the context of a resident focused setting, provides reception, clerical duties and concierge duties for

The Derby Manor, updates the admission, discharge and transfer system; types of material utilizing word processing software; and receives and sorts mail in accordance with established procedures.


JOB DUTIES:


  • 1. Provides reception duties for The Derby Manor by performing duties such as greeting visitors; maintaining visitor signin log; operating switchboard; and responding to general enquiries from residents/visitors related to the community in accordance with established policies and procedures.
  • 2. Handles monies for laundry and guest meals and issuing the appropriate receipts for these transactions.
  • 3. Provides Concierge duties including but not limited to assisting residents and families with local service provider information, assistance with information available via the internet or pamphlets/brochures on premises. Information and direction regarding activity programs being offered at The Derby Manor. Assistance foe residents wishing to book outings/events and transportation.
  • 4. Demonstrates knowledge of fire/emergency procedures and policies of the facility; participates in fire and emergency drills.
  • 5. Updates admission, discharge, and transfer (ADT) system by entering resident personal information as received; processing changes noted on daily census such as new admission, transfers to hospital, room changes, discharges and runs standard statistical reports from ADT as required.
  • 6. Actively promotes a culture of resident safety by adhering to established safety policies, standards and procedures including emergency procedures.
  • 7. Receives, sorts, and distributes resident and departmental mail by performing duties such as opening, date stamping, and distributing items to appropriate personnel, stamps and processes outgoing mail.
  • 8. Receives and processes lost and found articles by methods such as receiving lost items; entering information into logbook; placing articles into the lost and found box; posting notices of all lost and found items in designated areas; and forwarding valuable items to Finance for safe keeping.
  • 9. Reports hazards, unusual occurrences, accidents, and unsafe situations to immediate supervisor or designate.
  • 10. Photocopies, faxes, and distributes material for various departmental staff by receiving items for duplication and operating photocopying or facsimile machine.
  • 11. Monitors residents and assists visitors when leaving.
  • 12. Answer call bells, call ambulance /fire department.
  • 13. Performs other related duties as assigned.

  • 1. Demonstrates a commitment to communicating, improving, and adhering to safety policies in the work environment.
  • 2. Reports all incidents and near misses. Reports are to be made in writing.
  • 3. Report all concerns related to resident behaviours, even if no incident/injury occurs. Reports are to be made in writing.
  • 4. Follow safe work procedures and act safely in the workplace at all times.
  • 5. Actively participate in all training provided to you for your safety.

QUALIFICATIONS:


Education, Training and Experience

  • Grade 12 plus two years' recent, related experience or an equivalent combination of education, training and experience.
  • First Aid / CPR Certification
  • Food Safe

Skills and Abilities

  • Ability to type 50 wpm.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal with others effectively
  • Ability to organize work.
  • Ability to operate related equipment.
  • Physical ability to carry out the duties of the position.
