As Executive Assistant to the Vice Dean, you will act as a trusted liaison between the Temerty Medicine Vice Dean and internal stakeholders, learners, community and hospital partners to support the advancement of the Office of the Vice Dean's strategic priorities.

Your superior organizational skills, political sensitivity and your proven ability to react to quickly emerging issues, will enable you to proactively support the Vice Dean's complex schedule and prioritize academic and administrative activities to ensure an effective and efficient operation of their portfolio.

Your discretion, tact and diplomacy in handling the various demands placed on our resilient leader will make you an indispensable member of our faculty.


Essential Qualifications

  • Bachelor's Degree or acceptable combination of equivalent experience
  • Minimum five (5) years of senior administrative experience, preferably in a University or hospital environment
  • Proven experience acting as a first point of contact, screening and triaging a high volume of inquiries, managing complex calendars and preparing and editing high level communications on behalf of executives
  • Experience scheduling inperson and virtual meetings and organizing travel arrangements
  • Experience supporting senior level committees, including demonstrated proficiency in taking complex minutes independently, with little editing required
  • Experience planning and managing a full range of informal and formal meetings and events
  • Experience writing reports and organizing and formatting data for presentation
  • Experience maintaining and reviewing budget, variance and expense reports.
  • Experience managing staff, preferably in a unionized environment.
  • A strong understanding of culturally sensitive communication and experience dealing with highly sensitive and confidential matters is essential
  • Demonstrated experience developing and maintaining effective working relationships with internal and external stakeholders, including individuals in senior University and hospital positions
  • Advanced proficiency with MS Office Suite, survey tools, virtual meeting platforms, presentation software and A/V, and the ability to troubleshoot
  • Demonstrated ability to work effectively with diverse groups, understand the value of diversity and inclusion in the workplace and must be an advocate for equity
  • Exceptional interpersonal, organizational, planning and communication skills
  • Professional demeanor with a strong customer service orientation
  • Superior attention to detail and the ability to concisely summarize information of a complex nature
  • Must be an effective problem solver and have exceptional organizational and time management skills, with an ability to work under pressure and balance competing priorities
  • Demonstrated ability to work independently, show initiative and exercise diplomacy and good judgment, and also the ability to work cooperatively and be an effective team member
  • Ability to maintain strict confidentiality
