Communications and Event Coordinator:


Primary Purpose:

The Communications/Events Coordinator will manage all communication initiatives and special events in the Undergraduate Medical Education Program (UGME), College of Medicine.

This work will support the promotion and sharing of the priorities, goals and accomplishments of the UGME, College of Medicine, in alignment with UGME integrated plans and strategic directions.


Nature of Work:
The Communications/Events Coordinator will report directly to the Manager, UGME, while advancing UGME communications/event initiatives within the UGME.

The incumbent will work with other communicators in the college and university and ensure USask brand adherence in all work and provide a leadership role on all events/event committees within the UGME.


Typical Duties or Accountabilities:

Communication**:

  • Collaboratively determine content, write, and edit the UGME digital newsletter.
  • Manage the UGME current student website; including developing and assisting others with content and working in collaboration with others to post and update current content.
  • Contribute UGME news and other content to the college social media channels, while exploring the development of UGME specific social media channels.
  • When required, use analytics to ensure web and social media strategies are effectively and efficiently building community and engagement and use data collected to develop reports and recommendations for future content.
  • Seek out and create content and stories about UGME priorities and events (academic, research, community engagement) that contribute to building the profile and enhancing the reputation of the college.
  • Work with key administrative contacts and faculty to support eventfocused communications (invitations, programs, web content, power point presentations), as well as providing guidance for requests related to graphic design/production, visual aid, etc.
  • Manage budgetary requirements of communication initiatives and ensure effective use of resources.
  • Follows and upholds the university's branding guidelines and ensures consistency of messaging across all channels.
  • Is aware of evolving or changing news and strategic communications best practices and provides suggestions for how to incorporate those practices into their work.

Event Planning

  • Plans, coordinates, executes, and evaluates the UGME, College of Medicine's events.

These include but are not limited to:
White Coat, UGME award ceremony, convocation, and Western Dean's Meeting. Collaborates with the Saskatchewan Medical Student Society leadership on shared celebrations.

  • Manages UGME budget related to events.
  • Maintains measurements and benchmarks for events, assess results, and make recommendations for necessary changes.
  • Manages event logistics including creation of guest lists, development of invitations, RSVPs, providing attendee numbers to venues.
  • Assists with negotiation of venue contracts and booking of appropriate spaces, food and beverage requirements and arrange or oversee ordering supplies, signage, AV equipment.
  • Develops event planning standard operating procedures, protocols and processes that support leading practices for campus events.
  • Assist the associate dean and UGME leadership with other communication initiatives and events as required.

Education:
An undergraduate degree in communications, marketing, journalism, public relations or a related discipline. An equivalent level of education and experience may be considered.


Experience:

At least three-five years of directly related experience in communications and event planning, preferably in a post-secondary environment, health environment or similarly complex organization.

Knowledge of the University of Saskatchewan and the Saskatchewan healthcare system would be an asset.

Salary:
The salary range, based on 1.0 FTE, is $50, ,344.00 per annum. The starting salary will be commensurate with education and experience.
