Key Responsibilities:


Library & Information Services:


  • Supports the Library & Information Services Manager in the management of Library expenses including:
  • Invoice management
  • Tracking monthly detailed Library expenses against the budget
  • Acting as the liaison between the Library and the Accounting Department
  • Organizes and updates the Library's contracts and renewals
  • Assists with the production of Library reports, surveys and presentations including charts and spreadsheets
  • Manages the compilation and collation of library data
  • Maintains looseleaf services
  • Creates and updates marketing materials for the Library and Knowledge Management (KM) teams
  • Opens and processes the daily mail and manages the circulation desk
  • Provides assistance in the development and management of Library projects
  • Acts as backup for select library technicians' tasks

Knowledge Management:


  • Coordinates meetings both internal and external as well as local and across offices
  • Provides project assistance and support where needed (for example by becoming part of a test or pilot team for short periods)
  • Provides administrative support to the Director of Knowledge Management & Innovation in the development of process maps, reports, presentations and promotional materials
  • Processes invoices for the Toronto KM program and assists with budget management and expense tracking
  • Performs data entry in relation to certain discrete KM projects

Knowledge, Experience, Skills & Abilities:


  • MS Office Suite including MS Excel, MS Visio, MS Project
  • Library software (an asset): InMagicGenie, OneLog
  • Excellent attention to detail
  • Superior organizational skills
  • Excellent project management skills
  • Strong customer service skills
  • Ability to work well independently and as a team member
