  • Excellent oral and written skills essential
  • Computer experience required with proficiency in MS Office (Word, Excel and Outlook)
  • Database Management experience

Job Synopsis

  • This is a salaried 1.0 FTE position with MCC Ontario (MCCO) Migration and Resettlement Program related to the Private Sponsorship of Refugees (PSR). Under the supervision of the Program Coordinator, the Assistant will provide reception duties and office administration related to refugees' sponsorship projects. Second, the Assistant will provide onboarding and pre arrival orientation to sponsorship groups around financial calculations and financial reporting, ensuring that sponsorship groups understand and fulfil their IRCC financial requirements. Lastly, the Assistant will oversee database and data tracking integrity related to refugees' sponsorship projects.
This individual will work in the St.

Catharines Office and the position also provides administrative assistance to the Migration and Resettlement Program Team who work out of the Kitchener office.

Challenges

Key Responsibilities

  • Office and Program Administration
  • At the Niagara office, provide general reception support, including:
  • greeting face-to-face guests
- first pick up of phones

  • Be crosstrained to backfill other tasks as identified by MCCO
  • Receive and process material resource donations
  • With the Program Coordinator, develop an effective and efficient workflow for the team to help manage the regular shifting demands and realities and update documents accordingly
  • Update and maintain program portal with contents provided by the program team
Named Sponsorships

  • Assist with coordinating meetings/trainings/information sessions with sponsorship groups.
  • Create database records for new constituent groups and applicants in Apricot.
  • Ensure appropriate background check documents are submitted.
  • Prepare refugee sponsorship resources and photocopies as needed.
Blended Visa Office Referred (BVOR)

  • Assist with coordinating meetings/trainings/information sessions with sponsorship groups.
  • Create database records for new constituent groups and applicants in Apricot.
  • Ensure appropriate background check documents are submitted.
Constituent Group Finances

  • Provide finance orientation, host onboarding finance webinars to new constituent groups, and conduct prearrival finance orientations for constituent groups expecting arrivals.
  • Review finance calculations for new constituent groups.
  • Upon approval by Program Coordinator, setup of gift registries in conjunction with Donor Relations, establishing minimum and maximum fundraising limits.
  • Set up Refugee Resettlement Designated Account (RRDA) with Finance department.
  • Keep RECONCILIATION database up to date.
  • Work with all constituent groups (primary and finance contacts) to establish the finance report (as per IRCC Financial Guidelines) using MCC finance reporting forms regardless of sponsorship stream.
