Overview:

We're looking for a passionate Proposal Coordinator who can help navigate the choppy waters in the world of bids and business pursuits

Your role represents the lifeblood of our business at Arcadis IBI Group.

As a member of our Marketing team, you'll help spearhead the proposal process in this role with a glass half-full type of attitude and the innate ability to work your way tactfully through challenging problems.

You will have accountability and take ownership of a project from start to finish and flex your abilities to drive a project.


You'll leverage your skills in MS Office and MS Project to deliver flawless proposals with a jeweller's eye for detail and quality.

Most of the things you'll work on:

  • Ensure a high level of professionalism and quality is communicated through content, layout and the use of visuals that is consistent with the corporate brand and vision
  • Contribute to the generation, collection, dissemination, and storage of proposal related information
  • Review and analyze inbound proposal requests (such as RFQ, RFP, EOI, SOA, etc.) to help prepare responses
  • Develop opportunityspecific content as necessary, including organizational charts and schedules
  • Coordinate with the proposal manager and technical staff to prepare proposals which includes collecting and analyzing business related information, writing, designing, editing and producing proposal documents
  • Function as the primary point of contact for the proposal team in regard to communications and reminders on proposal deliverables and deadlines
  • Assist with nontechnical writing for proposal efforts and provide editorial oversight, including copy writing and editing
  • Coordinate team members and implement internal deadlines to complete proposal forms, custom resume alterations, additional information from subcontractors, etc. to meet the proposal due date
  • Assist with final closeout processes and file management
  • Assist with distribution of opportunities to subscriber groups (Merx, Biddingo, SEAO, Gov., etc) when required

Qualifications:


You'll need to have:


  • 1+ years of related experience in the A/E/C or equivalent industry or within a proposal setting
  • Experience with P3 Proposals would be considered an asset
  • Diploma or Undergraduate Degree in English, Marketing, Communications, Business, or another related field preferred
  • Experience managing multiple tight production deadlines in a fastpaced environment
  • Comfortable coordinating with individuals at different levels of the organizational hierarchy
  • Proficiency in 2013 Microsoft Word/Excel/PowerPoint /Adobe Acrobat X Pro and Adobe Creative Suites (CC)
  • Excellent writing, editing and grammar skills
  • Excellent communication, organization, attention to detail and problemsolving skills
  • Enthusiastic attitude and strong work ethic
  • Flexibility to work with a variety of personalities
  • Must be prepared to work outside of normal business hours to meet delivery schedules
  • Must be able to work efficiently and well under pressure
  • Strong multitasking and time management skills

Office Description:


We are currently in a work from home model during COVID-19 but when we do the office is steps away from St.

Clair station and is easily accessible by bike, TTC and car. Occupying 7 floors, with over 700 employees, it is the largest office at Arcadis IBI Group in Canada. The floors are open concept and represent our collaborative approach to projects.
