The Ontario Shores Foundation is seeking an Event Coordinator to join the passionate and growing team at Ontario Shores Foundation for Mental Health as we embark on our first ever campaign supporting the critical and revolutionary work of Ontario Shores Centre for Mental Health Sciences.

This is an exciting and unique opportunity to increase the public profile of Ontario Shores and raise vital funds for the most complex mental health care when the need is at an all-time high.


Reporting to the Manager, Strategic Communications & Donor Engagement, the Event Coordinator will support the execution and delivery of a strategic events program that will actively engage the community to raise awareness and build long-term donor relationships.

This involves the coordination of our signature, third party, partnership and donor recognition events including the Circle of Friends Golf Tournament, Shoppers Drug Mart Run for Women, Regional Chair's Classic Golf Tournament, galas, speaker series, peer-to-peer fundraising events and lotteries.


The Event Coordinator will play an important role in building the presence and representing the Foundation at through events and networking opportunities.

The incumbent will also support the delivery of donor celebrations and cultivation experiences at Ontario Shores.


KEY DUTIES AND RESPONSIBILITIES:


  • Support the planning and administration of the events portfolio including monitoring and tracking revenue and expenses and maintaining donor/sponsorship records
  • Execute event logistics to deliver a meaningful event experience to all stakeholders including developing and executing critical paths, RSVPS, vendor/supplier negotiation, creating print materials/signage, permits, preparing eventday logistics and coordinating volunteer and staff attendance
  • Serve as the Foundation's primary liaison for all third party and partnership events (currently including the Shoppers Drug Mart Run for Women and the Regional Chair's Classic Golf Tournament)
  • Coordinate and support donor recognition, stewardship and cultivation events
  • Support the development of customized sponsorship packages
  • Engage, solicit and steward a portfolio of event sponsors and identify new prospects
  • Support cause related marketing opportunities including securing new partners and promoting products
  • Coordinate Foundation volunteers providing direction and guidance for various events and programs
  • As necessary, support and provide direction to Event Committees including administrative support and meeting coordination
  • Identify and acquire giftsinkind, auction items and other donations for events
  • Support the creative production of collateral to promote events through print and digital media
  • Support and coordinate offline and online auction logistics for events including cataloguing items, program lists, creating descriptions and display set ups as required
  • Other duties as assigned to support the Foundation including supporting annual giving, marketing and communications and donor engagement initiatives
  • Qualifications Required and Preferred
    EDUCATION:
  • Minimum twoyear college diploma or equivalent
  • Training or certificate in event management or fundraising an asset

EXPERIENCE:


  • 1 to 3 years of events related work experience within a corporate or notforprofit environment an asset

SKILLS:


  • Exceptional organizational, logistics and problemsolving skills
  • Resourceful and solutionoriented with excellent project and time management skills,
  • Excellent interpersonal and communication skills
  • Ability to effectively manage multiple priorities and timelines with thorough attention to detail in fast paced environment
  • Strong creative and content development skills
  • Ability to listen and communicate effectively with a wide variety of internal and external stakeholders
  • Work productively within a team setting by readily engaging others and being aware of individual perspectives keeping in mind group goals
  • Ability to build and maintain a network of relationships among donors, volunteers and staff
  • Must be able to take initiative and work well within a team and independently
  • Knowledge of desktop publishing software (InDesign/Illustrator) an asset

OTHER JOB REQUIREMENTS:


  • Flexibility to work periodic evenings and weekends
  • Valid driver's license and regular access to a vehicle
  • Position is based out of the Ontario Shores Centre for Mental Health Sciences Centre; occasional work from home arrangements are available
