This will be a 2-year fixed term position.

You'll be the backbone of a team that's shaping the future of technology at AIMCo.

You'll work directly with influential figures, including the Senior Managing Director of Delivery and Operations, the Senior Managing Director of Data and AI, and the Managing Director of Technology Strategy, Architecture, and Planning.

Responsibilities:


  • Provide general administrative support to multiple senior leaders
  • Completing and submitting expense reports for Senior Leadership Team using Concur. Ensuring all expenses have attached receipts and are coded to the correct cost center. As well, reviewing and approving claim reports.
  • Booking all travel accommodations and adhering to travel guidelines. Including but not limited to airfare, hotel, car rentals, restaurant reservations, and car service.
  • Managing and coordinating calendars.
  • Preparing presentation decks and logistics for team meetings (including booking space, working with leaders to create agendas, ordering food, and purchasing supplies).
  • Monitoring multiple chat forums to keep leader's up to date, and determining and advising where action/comments are needed.
  • Coordinate, arrange and oversee team event planning process, as required.
  • Handle highly sensitive and confidential matters relating to the daily activity of the department and/or organization.
  • Handling adhoc tasks and regular duties and prioritizing as needed.
  • Demonstrates a strong commitment to AIMCo's core values of excellence, transparency, humility, integrity, and collaboration, and inspiring the same in others.
  • 35 years experience in an administrative support role
  • Knowledge and previous experience using Concur
  • Experience providing support to multiple professionals and managing competing priorities.
  • Experience with complex calendar management, booking high profile meetings, events, scheduling travel and managing expense reimbursement process.
  • Able and willing to work flexible hours, as required.
  • Proven attention to accuracy and detail, highly organized with the ability to prioritize and multitask.
  • Personable, easily interacts with all types of personalities and at all levels with a high degree of professionalism.
  • Proven ability to work effectively in a teamoriented and openconcept environment.
  • Experience booking travel accommodations for multiple SMD's
