Responsibilities:
- Assist Project Managers with administrative duties and proposal/project support as requested and maintain appropriate interpersonal relationships with employees, peers, and clients;
- Prepare and edit correspondence, communications, presentations, and other documents;
- Drafting, proofreading, and formatting correspondence, reports, presentations, proposals, and other materials as assigned using MS Word and Excel, and converting to PDF;
- Scanning hard copy documentation;
- Reception and office management duties, i.e., Scheduling and Coordinating meetings as required;
- Provide support to Document control by updating and maintaining project files using Hatch's Document Management System;
- Demonstrate a high level of expertise in Microsoft office and act as a resource to the office; and
- Additional administrative tasks as required by the project teams.
Qualifications:
- 2 years of administrative experience in a professional work environment;
- Intermediate to advanced computer skills, including MS Office suite (Word, Excel, PowerPoint);
- Excellent coordination and planning skills;
- Excellent verbal and written communication skills;
- Selfmotivation, initiative, and the ability to work effectively with all organizational levels;
- Quick learner;
- Well organized with good interpersonal skills;
- Detail oriented individual who takes pride in their work and ensures work is always completed to the highest degree of accuracy;
- Experience or knowledge of graphics programs will be an asset;
- Previous experience with Document Management systems and engineering project environment will be an asset;
- Can easily prioritize tasks, adapt to change, and work very well under pressure.
