PRIMARY FUNCTION:

The Secretary I provides secretarial and clerical support to the Department.


PRINCIPLE RESPONSIBILITIES:


  • Provides secretarial support for the Chronic Pain Clinic.
  • Acts as receptionist, directing visitors, distributing telephone calls and/or messages.
  • Acts as a liaison within the interdisciplinary to ensure appropriate patient care communications.
  • Acts as a liaison with other departments, establishing good communication and interdepartmental relationships.
  • Assists with ensuring booking schedules are current and revisions are kept up to date and distributed as per established protocol.
  • Retrieves information from files as required.
  • Sorts and distributes mail as directed.
  • Entry of data into various spreadsheet/data base programs as required.
  • Performs other clerical duties as assigned.
  • Demonstrates excellence in communication skills using a humanistic approach.
  • Demonstrates excellence in work coordination and completion of priorities
  • Uses resources effectively and maintains a safe working environment.
  • Reports incidents of unsafe practice or professional misconduct.
  • Acts as a role model and participate in appropriate committees and working groups.
  • Promotes positive team functioning.

QUALIFICATIONS:


  • Grade 12 diploma or equivalent
  • Graduate of a recognized Community College Office Administration program or equivalent.
  • 12 years recent experience in a clerical setting.
  • Ability to work efficiently and accurately under pressure in a high volume ambulatory clinic setting.
  • Demonstrated ability to multitask multiple responsibilities with frequent interruptions.
  • Demonstrated ability to work independently and/or in a multidisciplinary setting.
  • Demonstrated ability to set and follow through on priorities.
  • Demonstrated interpersonal and organizational skills.
  • Ability to communicate effectively, courteously and tactfully
  • Skilled in the use of current office technology
  • Demonstrated excellence in word processing and data entry skills will be tested (i

e Microsoft Office:
Word Level 1, Excel Level - Efficient word processing and keyboarding skills (45 wpm will be tested, must obtain 95% accuracy)

  • Medical Terminology certificate and/or knowledge of Medical terminology (will be tested)
  • Ability to handle confidential matters.
  • Capable of coping with a mentally demanding workload
  • Proven ability to attend work regularly.
  • Satisfactory criminal reference check and vulnerable sector search required.
