The Position:


The Position:


The Academic Events Coordinator (AEC) organizes Redeemer's official ceremonies and academic events, assuming responsibility for their successful and smooth completion.

The AEC collaborates with members of the Redeemer community to plan and showcase public events such as graduation, inaugurations, concerts and tours.

The AEC also coordinates professional events in the Schools of Business and Education, guest lectures, student recitals, and celebratory socials.


This position is for approximately 22.5 hrs/week, 10 months/year from August to May. Some events fall close together; therefore, some weekly hours are flexible in order to bank time toward the concentrated months of the year (typically November/December and April/May).

Responsibilities:


Plan, organize, and promote opening convocation, closing chapel and faculty inaugurations, including initiating correspondence with faculty, staff, students, and guests, including:

  • Developing and proofreading the print programs
  • Creating the PowerPoint for the opening convocation program
  • Tracking timelines to ensure that all necessary tasks are completed
  • Planning and ordering refreshments, flowers, and regalia

Manage all non-student related activities for graduation, including travel and other arrangements for the guest speaker and guests of honour

Organize concerts, exhibits and tours essential to the Music and Art programs, including:

  • Booking the venue(s)
  • Meeting with the Communications Department about promotion
  • Developing and proofreading print program(s) and posters
  • Arranging travel and accommodation logistics

Organize and coordinate events and meetings for the School of Business and the School of Education, such as the Etiquette Dinner and alumni mentoring events, to maintain the professional culture of the schools


Communicate the appropriate roles, functions and expectations for various events with deans, the president's office, the board chair, external speakers, faculty members, staff, students, and community partners in a professional manner


Work with Faculty Fellows from the Al Wolters Centre for Christian Scholarship to plan events, readings and discussions in various academic areas


Schedule and coordinate student music lessons and recitals, acting as a liaison between students, staff and music faculty


Organize special faculty events such as retirement and farewell socials to honour faculty contributions, including managing the invitations and presentations


Encourage student involvement in volunteer positions such as ushering for events held in the auditorium


Preferred Skills and Attributes:


  • An ability to stay focused on longterm, shortterm and immediate goals, and balance them in a way that each can be taken care of without undue attention being lost to any of them
  • Exceptional organizational skills, resourcefulness and creativity
  • Welldeveloped interpersonal and written/oral communication skills, using clear and concise language, with special attention to tact and professional tone
  • Proficiency with Microsoft Office Suite

Education, Training & Certifications:

Administrative experience in an educational setting and/or experience in events planning is an asset


Other Requirements:


  • Understanding of Redeemer University (mission, values, and Reformed Christian identity)
  • Flexibility to attend oncampus events to monitor and manage them, including evenings and weekends
  • Ability to do light physical work such as carrying choir robes and rearranging stage seating
