JOB SUMMARY:


MAJOR RESPONSIBILITIES- Manage the finalization and formatting of documents to be filed with the Ontario Energy Board (OEB)- File documents with the OEB- Liaise with the Supervisor, Rate Application as necessary Monitor and analyze incoming communications and documents for distribution / action by appropriate staff- Establish, revise and maintain office organization and procedures to ensure efficient operation; recommend improvements- Assess the nature and sensitivity of verbal and written requests, and take appropriate action- Support the efficient management of the Regulatory Affairs Team members' time by scheduling appointments; make travel and other arrangements, which may include booking rooms, refreshments, etc.- Plan events, such as off-site workshops and facilities in other locations, as well as retreats.

- Prepare routine responses for signature; research and collect relevant documentation regarding more complex responses- Maintain the security of highly sensitive and confidential matters- Adopt and champion new technologies and business processes as required- Liaise with stakeholders in Media and Public Affairs and assist in coordinating the distribution of internal / external releases, as requested- Perform Recording Secretary functions including scheduling meetings, drafting and distributing agendas; recording minutes and following up on action items- Enter requisitions and assist with procurement of software and services- Liaise with consultants retained through the provision of information and coordination of meetings and services- Fulfill procurement requirements for the team including creation of purchase requisitions and processing invoices for payments- Field general questions / concerns raised by staff including fellow Executive Assistants pertaining to policy / procedures- Liaise with clients regarding customer enquiries, requests for information as well as requests for attendance / representation at meetings- Process and record a variety of agreements- Receive visitors- Review and edit documents- Reconcile corporate expenses (Credit Card and Cash Expenses)- Prepare reports as required- Undertake special assignments as requested- Perform other duties as required

EDUCATION AND EXPERIENCE- Post-secondary education in a related field, preferably in Office Administration- Several years' experience managing the administration of an Executive or Senior Manager's office- Several years progressively responsible secretarial experience- Experience and formal training combined with demonstrated performance and ability may substitute for stipulated academic requirements- Strong computer skills; expertise with MS Office Suite of products- Knowledge of GSuite and AODocs considered an asset- English essential, both oral and written; Bilingual (English/French) considered an asset

This is a management group opportunity and salary will be commensurate with qualifications.

$58,456.35


Pay Range Maximum:
$87,739.37
