The Role


Reporting to the Vice President, Public Affairs & Marketing, the Executive Assistant provides the highest level of effective and efficient executive support in a fast-paced Division that is undergoing exciting changes.

The work requires comprehensive experience and skill, and exceptional judgement and discretion.


Responsibilities


You serve as the primary contact for both internal and external stakeholders for the VP and coordinate divisional activities as required.

You perform advanced, diversified and confidential duties that may be administrative in nature or project based.


You manage an extremely active and dynamic calendar of meetings, appointments, travel and activities, and independently make scheduling decisions on behalf of the VP.

You provide a bridge for smooth communication between the VP's office and the division, BCF leaders and staff, and external audiences; demonstrating leadership to build and maintain credibility and trust.

You anticipate upcoming commitments and responsibilities to ensure the VP is informed, prepared and there is appropriate follow through.


You liaise with both internal and external groups on behalf of the VP to plan and prepare for meetings, including securing venues (both physical and virtual), and preparing meeting materials.

You also support the development and management of the division's annual budget, variance reports and expenditures, including monitoring and reporting on departmental expenditures, processing of invoices and purchase orders.


What you bring to the team


You bring minimum of 7 to 9 years' proven experience as an administrative professional with a certificate or diploma in Office Administration.

A Bachelor's degree preferred.

You are professional and positive, with an ability to exhibit discretion and confidentiality and have strong interpersonal skills.

You are highly organized with a strong commitment to customer service and a proficient team player able to work with multiple departments simultaneously.

You possess excellent verbal and written communication skills, and an ability to work well under time constraints and prioritize competing tasks appropriately.
