About Us:


The Ministerial Correspondence Unit is responsible for coordinating all correspondence to and from the department, as well as briefing notes going to the Premier, Minister, Deputy Minister, and MLAs.


The Energy Ministerial Correspondence Unit (MCU) is a shared service for the Ministry of Affordability and Utilities and as such the ARTS Administrator will be providing support to both ministries.


The department's ARTS Administrator works in the MCU the Deputy Minister's Office and works closely with the Writers, the Team Lead, and Operations Manager to provide the Premier, the Ministers and the Deputy Ministers with quality information and responses to correspondence in a timely and accurate manner.

Reporting to the Manager, Operations and Issues Management, your primary duties include assessing, coordinating and implementing the plan of action for requested briefings and correspondence for clients, and assigning and routing action requests through the department.

Your duties includes the following but not limited to:


  • Provide training on ARTS processes and responding to ARTS questions from the department.
  • Assist the FOIP office in understanding the Deputy Minister office process and responds to FOIP requests on behalf of the Deputy Minister's office and the Minister's office
  • Act as primary contact for all issues about ARTS processes including informing ARTS coordinators across the department of changes, testing and problems with ARTS and managing process guide with input from the unit to ensure the units ARTS processes are up to date.
  • Add new employees to the departments ARTS security group and updates information as employees move throughout the department; manages user groups and users in the ARTS production site, ARTS training site and user acceptance site.
  • Record and file management, assist with the coordination and storage of files with Central Records through prescribed guidelines.
  • Reviews and edits Telephone Action requests for grammar, style and coherence.

Qualifications:

High school diploma and three years of administrative experience:

Equivalency:
Directly related experience considered on the basis of:

  • 1 year of experience for 1 year education.

Assets:


  • Working knowledge of governmental systems and processes; legislation, financial and human resource policies and processes
  • Excellent knowledge of: political sensitivities as well as of legislation governing Freedom of Information and Privacy (FOIP), and 1GX
  • Experience of Action Request Tracking System (ARTS)
  • Previous experience of preparing and editing correspondence, presentations and responding to stakeholder inquiries would be an asset
  • Strong organizational and time management skills with the ability to prioritize work independently solve problems and meet deadlines.
  • Excellent administrative skills and ability to research and communicate information.
  • Excellent written and oral communication skills.
  • Proficiency in various software packages including: Microsoft Suite
  • Word, Excel, Outlook, PowerPoint, Visio and SharePoint.
