Position Overview


Reporting to the Divisional / General Manager, the Commercial Coordinator is an administrative role, which monitors, oversees and performs the day to day reporting of a Commercial Project.

This position executes, manages and delivers all administration support to the Commercial team. This role works in collaboration with the Project Manager, Field Manager, Technician(s) and Trades-persons.

This position's primary responsibility is to ensure ensure organizational effectiveness to the team by providing leadership in all functions, while adhering to all
Belfor policies and procedures.

This role acts as the main contact for all employees involved in a commercial project.


Job Duties

  • Oversees and facilitates the day today reporting of a Commercial project; follows up with and reports to the Divisional / General Manager ensuring appropriate decisions are made
  • Responsible for the collection of project details and information; organization, scheduling, planning and invoicing of all
- project specifics

  • Responsible to coordinate manpower required on site, recruitment, organizing, scheduling, and planning for all employees involved with large loss project, makes recommendations for procedural changes to improve team efficiency, including recommendations on staff requirements
  • Play a significant role in both shortterm and longterm planning, drive initiatives throughout the large loss team
  • Support commercial project managers and manage field managers, leads and crews
  • Responsible for the maintenance of job spreadsheet, reporting real time costs daily, following up with Divisional / General Managers on progress and issues
  • Responsible for all commercial project affiliated data entry including timesheets and account payable, invoicing
  • Provide excellent customer service
  • Work under time constraints to meet specific timelines
  • Ensure attention to detail and keen sense of safeguarding other people's property and information
  • Will practice good housekeeping at all times to ensure a safe and noncluttered worksite
  • Participates in and demonstrates an understanding of safety principles and practices; follows all safety policies and procedures to support a safe working environment, including safe operation of machines and equipment
  • Comply with all
    Belfor policies and procedures, as well as legislative requirements
  • Attend all
    Belfor sponsored training courses

Responsibilities

Human Resources: Maintain employee confidentiality and performance management by coaching leading, mentoring and motivating employees.

Belfor documents are completed accurately; maintaining employee records and compliance; ensuring compliance of all employees and subcontractors with local laws and

Accountability: Ability to identify measures of performance and actions needed to improve or correct performance, ensuring accuracy and documentation.

Communication: Ability to communicate effectively and professionally with our staff and customers, both verbal and written.

Leadership: Ability to delegate, set expectations, and monitor progress of all direct reports

Time Management: Proven ability to multi-task in a fast-paced office environment


Qualifications

  • Post secondary business administration, project management courses / certification
  • 3+ years experience in Construction / Restoration / Insurance field preferred
  • Demonstrate leadership and vision in supervising employee groups and major projects or initiatives
  • Knowledge of human resources, recruitment and payroll company principles and practices
  • Knowledge of accounting and billing company principles and practices
  • Comprehensive understanding of customer service, principles and practices
  • Eligible to operate a motor vehicle per
    Belfor's vehicle policy
  • Ability to work within a team or independently as needed
  • Strong written and verbal communication skills
  • Proven ability to multitask in a fast paced environment
  • Advanced computer and/or tablet/iPad experience with Microsoft Office programs such as Excel, Word, Google Suite, JD Edwards ADN Docusphere
  • Willing to work evenings, on call and weekends when requested
  • Periodic travel may be required

Physical Demands

  • Frequent lifting from 540 lbs., unassisted (from 3565% of the time)
