Job Description Summary


Reporting directly to the President, the Executive Assistant will be responsible for the execution of a wide range of administrative tasks to help support both the President and the Executive Management Team (EMT).

This role requires superior organizational skills, attention to detail, strong interpersonal and communication skills and a high regard for confidentiality

  • Position Functions:
  • Manage, schedule and arrange required meetings (in person and virtual)
  • Create, review and coordinate various materials for presentations (slides, agendas, minutes, followup etc.)
  • Arrange any required catering for meetings
  • Coordinate travel arrangements and accompanying material
  • Receive visitors (internal/external), answer calls, and provide information as necessary or refer visitors/callers to appropriate individuals using judgment while mindful of confidentiality
  • Administrative support including filing and photocopying
  • Assist with other duties, special projects and events as required
  • Minimum Qualifications
  • Must be flexible and accessible after hours
  • Bilingual, English and French ( Fluent)
  • Minimum 5 years previous experience in an administrative role supporting senior leaders
  • Strong computer skills (Excel, Word, PowerPoint, Outlook)
  • Excellent interpersonal and communication skills (written and verbal)
  • Strong work ethic, tremendous integrity and the ability to be discreet with confidential information
  • Highly proactive and the ability to think ahead
  • Ability to work in a highly organized manner where attention to detail and accuracy are critical
  • Demonstrated aptitude to prioritize tasks based on importance and urgency
  • Exceptional commitment to client service and continuous improvement
  • Adaptable, flexible, and ability to work effectively as part of a team
  • Selfmotivated, able to work under mínimal supervision
  • High level of professionalism and ability to deal effectively with all levels within the organization as well as external contacts
