Administrative Assistant, Logistics
Regular Full Time

Health Services, Paramedic Services


Responsibilities:


  • Reporting to the Manager, Logistics you will coordinate meetings and training
  • Typing and formatting documents, and presentations to ensure professional quality
  • Coordinate business expense claims
  • Receive correspondence and documents, mail and faxes appropriately to ensure proper staff action
  • Prepare correspondence and obtain authorization before routing to appropriate destination
  • Provide data entry support for various databases
  • Liaise with internal and external contacts
  • Ensure exceptional customer service by ensuring that telephone calls are attended to and responded to appropriately
  • Assist with projects including activities such as research, preparation of data, implementation strategies, communication, suggestions for improvement as well as coordination of findings
  • Provide assistance to the Section's financial support personnel
  • Providing backup administration support to Division Senior Management
  • Coordinate and manage confidential files and information and assist with obtaining documents or information from various sources
  • Maintain the inventory of office supplies
  • Demonstrate a commitment to diversity, equity, and inclusion through continuous development, modeling inclusive behaviors, and proactively managing bias

Qualifications:


  • Graduation from a recognized administrative assistant postsecondary program
  • A minimum of two (2) years of administrative support experience
  • An equivalent combination of education and/or experience may be considered
  • Experience supporting a logistics work environment would be considered an asset
  • Excellent communication and time management skills
  • Proficiency in Microsoft software (Outlook, Word, Excel, PowerPoint) and Visio
  • Superior attention to detail
  • Ability to multitask effectively and manage changing priorities
  • Selfmotivated and able to take initiative in order to suggest ideas for improvement to workflows or processes
  • Ability to exercise considerable judgment, tact and discretion in preparing, disclosing and handling information of a confidential and/or sensitive nature

at 1600 Bovaid Drive East, Brampton


Hours of Work:8:30am - 4:30pm, Monday through Friday, 35 hours/week
