Introduction:

As a Manager Assistant you will be responsible for providing administrative support within the Home and Community Care, Finance and Corporate Services, Strategic Communications and Stakeholder Relations portfolios


Position Summary:

Provide administrative and project support to the Manager(s); including chart audits, outcome measurement and evaluation, data processing and simple reporting;
Setting up and maintaining electronic and paper office filing systems;
Coordinating and arranging meetings, including scheduling meetings; booking meeting rooms; preparing and forwarding agendas and documents; taking minutes;
Assisting and coordinating projects and initiatives to support the portfolio;
Ensure Senior Manager (s) has necessary documentation for scheduled meetings;
Directing and responding to telephone and in-person inquiries from a variety of internal and external contacts;
Prepare memoranda, spreadsheets and other documentation required to support the day-to-day business activities;
Participate in the preparation of policies and procedures, forms and guidelines;
Communicate with external parties on behalf of the Senior Manager(s);
Prepare PowerPoint presentations as required;
Working as a member of the team to ensure efficient, effective and quality service are provided, consistent with the overall vision, mission and values of the organization;
Perform other duties as assigned or required.


Minimum Qualifications & Position Requirements:

Secondary education plus additional program/course of up to 6 months or equivalent;
2-3 years' experience in a similar administrative role;
Demonstrated knowledge and commitment to continuous quality improvement principles and practices including the ability to facilitate innovation and creativity;
Demonstrated excellent working knowledge of Microsoft Office (Word, Outlook, Power Point and Excel) with the ability to produce reports and presentations with visual additions such as charts, graphs, tables, flow charts and diagrams;
Ability to handle sensitive and confidential information in a discreet and professional manner;
Excellent time management and organizational skills combined with the ability to prioritize and to balance the workload requirements, meeting competing deadlines with mínimal supervision;
Excellent interpersonal, diplomacy, communication and presentation skills;
Experience in dealing with the public effectively; demonstrated focus on customer service;
Exemplary telephone skills, legible handwriting, and good analytical/organizational skills to meet deadlines and solve problems;
Knowledge of community resources;
Advanced skills in conflict resolution;
Demonstrated ability to work well within a team;
Demonstrated ability to work in and respond to a dynamic and changing environment;
Excellent verbal and written communication skills and effective interpersonal skills.


Work Environment and Hours of Work:


Position Location and Travel:

The position may involve travel throughout the Central East geographic region. A valid Ontario driver's license and access to a reliable vehicle are required.
